Executive Administrative Assistant Diamond Mowers, LLC - 3.0 Sioux Falls, SD Job Details Full-time 23 hours ago Qualifications Microsoft Excel Microsoft Outlook Executive administrative support Research Decision making Full Job Description Executive Administrative Assistant We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to handle a wide range of administrative tasks in a fast-paced and dynamic environment. This role requires discretion, excellent communication skills, and the ability to maintain a high level of professionalism.
Responsibilities:
Executive Support:
Manage and coordinate executive calendars, meetings, and appointments. Arrange travel itineraries, accommodations, and other logistics for executives. Act as a gatekeeper, screening and prioritizing communications for executives.Administrative Functions:
Prepare and edit correspondence, reports, and presentations on behalf of executives. Organize and maintain files, records, and confidential information. Handle incoming and outgoing communications, including emails and phone calls. Responsible for ordering all office supplies. Screening visitors to the administrative building.Meeting Coordination:
Plan and coordinate meetings, conferences, and special events. Prepare meeting agendas, take minutes, and distribute relevant materials. Ensure meeting spaces are equipped and all necessary arrangements are made.Communication and Collaboration:
Prioritizing emails and phone calls, maintaining contact lists, and producing and distributing correspondence. Serve as a liaison between executives and internal/external stakeholders. Communicate effectively with team members, clients, and partners. Collaborate with other administrative staff to streamline processes.Project Support:
Assist with special projects, research, and analysis as assigned. Monitor project timelines and deliverables to ensure deadlines are met.Expense Management:
Track and reconcile expenses, ensuring accuracy and compliance with company policies. Process and submit expense reports on behalf of executives. Customer Experience Partner with Customer Service team to assist in the collection and analysis of customer feedback. Provide proactive customer outreach to ensure the highest level of customer service. Work with customer service team to collect and analyze customer feedback through a variety of channels. All other duties are performed as necessary.Qualifications:
Proven experience as an Executive Administrative Assistant or similar role. Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time-management skills. Exceptional written and verbal communication skills. Ability to handle sensitive information with discretion and confidentiality. Proactive problem-solving and decision-making abilities. High level of professionalism and interpersonal skills.Exhibit Diamond Company Values:
