About us The Louisiana Cancer Research Center (LCRC) is a private non-profit created by the State of Louisiana and is a partnership of LSU Health Sciences Center in New Orleans, Tulane Health Sciences Center, Xavier University and Ochsner's Health. Position Title:
Executive Assistant Summary:
The Louisiana Cancer Research Center is seeking a highly qualified Executive Assistant Reporting to the Chief Administrator, the Executive Assistant performs, coordinates, and oversees advanced technical and administrative duties, providing crucial, confidential support to key executives at the LCRC. The Executive Assistant will exercise sound judgement and discretion and will perform a diverse range of complex office management tasks.
ESSENTIAL DUTIES INCLUDE
Executive Support:
  • Provides comprehensive administrative support to the Chief Administrator and LCRC Board of Directors, advancing strategic objectives.
  • Manages administrative tasks for key executives, including the Chief Financial Officer (CFO).
  • Maintains executive calendars and schedules meetings.
  • Arranges travel and coordinates travel logistics (registration, flight, hotel, transportation), handles documentation and receipts, and prepares/monitors travel and expense reports.
  • Receives, screens and prioritizes executive communications.
  • Drafts, reviews, edits, and processes correspondence, memoranda, reports, and related documents.
  • Tracks deadlines, deliverables, and priorities for optimal workflow.
Board and Stakeholder Relations:
  • Acts as the primary contact for executives, the Board of Directors, government officials, and external stakeholders.
  • Organizes Board and Committee meetings, including preparing agendas, compiling materials, attending, and taking notes and transcribing recorded meeting minutes.
  • Facilitates communication among executives, Board members, and stakeholders.
Office Operations:
  • Directs daily administrative functions of the LCRC office.
  • Assists in developing and recommending new office processes, procedures, and systems.
  • Manages incoming mail and prioritizes items needing immediate attention; logs incoming checks.
  • Assist LCRC staff with administrative processes to ensure efficiency and compliance.
  • Maintains staff leave records and provide documentation for the monthly reconciliation process.
Projects and Initiatives:
  • Supports special projects and initiatives, collaborating with stakeholders across LCRC.
  • Conducts research and analysis on administrative projects; prepares summaries and reports.
  • Performs related duties as assigned.
REQUIRED QUALIFICATIONS AND SKILLS
Education and Experience:
  • A minimum of two (2) years of college coursework in business, administration, general studies, office technology, or related field, plus three (3) years of experience as an executive assistant, administrative assistant, or related position.
Qualification Substitutions:
  • Bachelor's degree and two (2) years of relevant experience; or
  • Five (5) years' experience as an executive assistant, administrative assistant, office manager or similar position(s); or
  • An equivalent combination of education and experience.

  • Excellent interpersonal, written, and verbal communication skills

  • Meticulous attention to detail
  • Proficient in Microsoft Office Suite
  • Accurately records and transcribes meeting minutes

  • Experience in higher education and/or medical research settings
  • Flexibility to adapt in a dynamic, demanding environment
  • Advanced computer and scheduling skills
  • Strong ability to manage competing priorities
  • Consistent ability to meet deadlines
Job Type:
Full-time Pay:
$55,000.00 - $68,000.00 per year
