Executive Assistant to CEO & Executive Leadership Sarasota, Florida | Full?

Time | Some Travel Required Our client, a well?established company is seeking a highly organized and proactive Executive Assistant to support company ownership, the CEO, Chief Commercial Officer, executive leadership, and the sales organization. The position is in Sarasota, Florida. This role is ideal for someone who thrives in a fast?paced environment, anticipates needs, and brings discretion, professionalism, and a service?oriented mindset to everything they do. The Executive Assistant will play a key role in enabling executive effectiveness through administrative leadership, travel coordination, reporting support, event planning, and select personal assistance for ownership. Key Responsibilities Executive & Administrative Support Prepare and distribute executive correspondence, reports, presentations, invoices, and internal documents. Maintain the monthly company calendar and deliver customized monthly reports to the CEO. Manage mail, packages, records, office supplies, and basic bookkeeping. Reporting & Compliance Maintain and manage the company's trademark and patent files, including tracking and initiating renewals. Reconcile monthly corporate credit card statements. Event Planning & Engagement Plan and coordinate major corporate events such as National Sales Meetings, Sales Incentive Trips, Holiday Parties, and employee engagement initiatives. Manage vendors, logistics, travel, and on?site execution. Travel & Logistics Arrange domestic and international travel for executives and company personnel. Coordinate business meals, executive meetings, and corporate gatherings. Manage detailed personal travel arrangements for company ownership, including special accommodations. Personal Assistance Provide on?demand personal support to company owners with confidentiality and discretion. Perform additional duties as assigned. Required Skills & Abilities Excellent written and verbal communication skills. Exceptional organizational skills and attention to detail. Self?motivated, dependable, and resourceful. Comfortable working independently and adapting quickly. Proficient in Microsoft Office, especially Excel. Willing to support executives during non?standard hours when necessary. Calm, effective, and solutions?oriented under pressure. Education & Experience Bachelor's degree preferred (Business Administration or related field). 5+ years / or seasoned experience in executive or administrative assistance, personal assistance, event planning, hospitality, or similar high?touch roles.
