To Be Determined Job Description The South Shore Regional School District seeks an experienced Executive Assistant to support the Superintendent-Director and district-wide operations. South Shore offers a collegial work environment in a newly renovated office setting. South Shore offers a comprehensive benefits package and membership in Plymouth County Retirement System. This is a full time, full year confidential position, reporting to the Superintendent-Director. Start date is flexible, preferably by July 1, 2026.Position Goals:
Support the Superintendent-Director and district-wide operations, working in concert with all staff members to support and ensure effective and efficient communication and interaction with employees, shareholders and the community at large. Possess the most current technology and computer skills needed to thrive in a project-based, multi-tasking environment, and have the ability to adapt to new technologies and software programs, thereby supporting the overall effectiveness of the school district. Oversee the overall administrative support operations of the district and high school offices.Qualifications:
Trained executive secretary with a minimum of five (5) years of experience - preferably educational or other public sector secretarial experience. Excellent writing, editing and speaking skills. Proven track record of dependability and reliability, ability to multitask and manage varied projects and work as part of a team. Extensive knowledge and experience in use of all Google platform applications and experience with learning new technology and applications. Experience with using data visualization and presentation tools. Flexibility in work schedule as needed, including use of remote technology to meet performance responsibilities.Typical Performance Responsibilities:
(other duties may be assigned as needed)Administrative Assistant Functions:
Performs research projects as needed for Superintendent-Director. Performs all written communications and archiving of documentation, supporting the Superintendent-Director and District Office operations, where needed. Handles mail coming into the Superintendent-Director''s office. Maintains Superintendent-Director's calendar. Drafts and updated school district calendar. Assists with the procurement process as needed. Assists with creation of requisitions as needed. Assists administrators and high school office staff with school events.Budget Functions:
Assists Superintendent-Director in preparation and dissemination of the school district's budget. Develops presentations and other materials as needed.School Committee and School District Functions:
Assists Superintendent-Director in preparation for and follow-up of School Committee meetings, including preparation of agenda, agenda memo, motions, school committee mailings, public postings, polling of members,meeting minutes etc. Attends regularly scheduled school committee meetings.HR Functions:
Support the Human Resources Coordinator in conducting CORI and SAFIS background checks. Tracks employee demographics for Superintendent-Director communications. Other HR functions as identified by the Superintendent-Director.Facilities Coordinator Functions:
Coordinates use of facilities requests. Maintains Facilities Use Calendar.District Operations Support:
Provides assistance to Food Service, Maintenance and Transportation administrators from time to time as needed and determined by the Superintendent-Director.Office Manager Functions:
Coordinates securing of office equipment (postage meter, mailing machine, copiers. Coordinates securing of maintenance contracts for office equipment and copiers.Other:
Secures certificates of insurance as needed. Custodian of file with Certificates of Title and registrations for all school vehicles. 12 month position, 40 hour work week Flexible work hours may be necessary based on district needs Annual Salary range: $60,000 - $70,000, based on training and experience Funding source: BudgetPosition Type:
