Job Description

Overview We are seeking a highly organized and dependable Administrative / Executive Assistant to support the daily operations of the company while providing dedicated support to a core group of four senior leaders. This role is central to keeping the business running smoothly and plays a key part in supporting a field-based sales team by assisting with order entry, product coordination, and administrative follow-through. The ideal candidate is detail-oriented, proactive, and comfortable juggling executive support, office administration, and sales operations support in a fast-paced, hands-on environment.
Key Responsibilities:
Executive & Administrative Support:
Provide direct administrative and executive support to a core group of four leaders, including calendar management, meeting coordination, travel planning, and expense tracking Serve as a central point of contact for internal teams, vendors, and clients Manage incoming calls, emails, and correspondence, prioritizing and routing as needed Prepare documents, reports, presentations, and internal communications Maintain organized digital and physical filing systems
Sales & Field Team Support:
Support outside sales representatives by assisting with order entry, product selection, and pricing coordination Prepare and process sales orders, quotes, purchase orders, and related documentation Coordinate product details such as materials, measurements, delivery timelines, and installation requirements Track order status and follow up with vendors, warehouses, and internal teams to ensure accuracy and timely delivery Assist with customer inquiries related to orders, products, and scheduling
Office & Operations Support:
Help manage day-to-day office operations and administrative workflows Coordinate with vendors, suppliers, and installers as needed Support invoicing, documentation, and basic data entry as it relates to sales and operations Identify process improvements to increase efficiency across administrative and sales support functions
Qualifications:
3+ years of experience in an administrative assistant, executive assistant, or office support role Prior experience supporting sales teams, field operations, or order processing strongly preferred Experience in construction, flooring, home services, or building materials is a plus Strong organizational skills with the ability to manage multiple priorities and deadlines Excellent written and verbal communication skills High attention to detail and follow-through
Skills & Tools:
Proficiency in Microsoft Office (Outlook, Word, Excel) and/or Google Workspace Comfort working with CRM, ERP, or order management systems (training provided if needed) Strong problem-solving and time-management abilities Professional, service-oriented mindset with a collaborative approach
