Job Description
Overview Share-A-Home, Inc. is seeking an experienced and highly organized Executive Director to lead our residential services program serving individuals with developmental disabilities under Minnesota 245D regulations. This position is a hands-on operational leadership role responsible for overseeing daily operations, compliance, financial management, staffing, and administrative systems. Unlike a traditional Executive Director role, this position requires direct involvement in payroll, scheduling, state reporting, training systems, and regulatory compliance. The ideal candidate is detail-oriented, able to manage multiple systems simultaneously, and comfortable balancing leadership responsibilities with day-to-day operational oversight. Organizational Leadership & Operations Provide leadership and oversight of all residential programs (Maplewood, Trailwood, Elmwood) Manage day-to-day operations, staffing, and service delivery Ensure effective communication across homes, office staff, and leadership Licensing & Compliance (245D) Ensure full compliance with Minnesota 245D requirements
Oversee:
Incident and maltreatment reporting Staff training requirements Resident rights and protections Maintain audit readiness and respond to licensing reviews Financial Management Oversee financial operations including QuickBooks and monthly reporting Monitor budgets, expenses, and cash flow Ensure bank reconciliations are completed and accurate Payroll & Benefits Administration Oversee payroll processing and reporting through payroll systems (e.g., Paychex) Maintain internal payroll tracking (Excel-based systems) Manage employee benefits, including: Thrivent retirement contributions Aflac supplemental insurance ICHRA health reimbursement arrangements Ensure timely and accurate benefit payments and reconciliations Staffing & Scheduling Oversee staff scheduling using When I Work Ensure adequate staffing ratios and coverage across all homes Manage overtime and staffing costs Documentation & Resident Services Oversee documentation systems including Therap Ensure staff documentation is accurate, timely, and compliant Oversee medication administration practices and compliance Training & Onboarding Manage employee onboarding, orientation, and training schedules Ensure completion of required training through College of Direct Support Maintain compliance with staff training requirements State Systems, Billing & Reporting Maintain access and oversight of MN-ITS for billing and communication Monitor claims, resolve errors, and respond to state messaging Complete required reporting, including: DWRS cost reports (if selected) Annual ARM surveys Administrative Oversight Review and approve invoices Review doctor's notes and communicate medical updates to staff Monitor and respond to key communications (staff, county, vendors, state) Board Relations Provide regular updates to the Board of Directors Present financial and operational reports Collaborate on strategic direction and organizational needs QualificationsRequired Experience in human services, healthcare, or residential services Strong understanding of regulatory compliance (245D preferred or ability to learn quickly) Experience with payroll, budgeting, and financial oversight Strong organizational and problem-solving skills Ability to manage multiple priorities and systems simultaneously Preferred Experience in adult foster care or disability services Familiarity with: QuickBooks Payroll systems (e.g., Paychex) Electronic documentation systems Prior leadership or supervisory experience Work Environment & Expectations This is a hands-on leadership role , not solely administrative or strategic Requires managing multiple systems, deadlines, and compliance requirements Must be available to address urgent operational or staffing issues as needed Important Note This position includes significantly more operational and administrative responsibilities than a traditional Executive Director role. Candidates should be prepared for direct involvement in payroll, compliance systems, staffing, and day-to-day operations.Pay:
