Position:

Employment Terms:
12 month contract; Full-time; eligible for health insurance benefits. As per negotiated agreement between the Board of Education and the Paramus Public School Association.
Job Goal:
The Facility Use & Community Program Coordinator is responsible for the administration, coordination, and strategic development of all internal and external use of Paramus Public Schools facilities, and the planning and implementation of community-based programs. This position manages the full lifecycle of facility use requests through the District\'s facility management system while also leading the development of a Community School model that offers enrichment, recreation, and support programs for students and residents. The Coordinator ensures efficient scheduling, compliance, accurate billing, and operational readiness, while proactively creating and marketing programs that maximize facility utilization and generate revenue. Serving as a key liaison between the District and the community, this role bridges facility operations with program development�expanding opportunities such as athletic camps, performing arts programs, after-school enrichment, and specialized services.
Qualifications:
Bachelor\'s degree in Business Administration, Marketing, Public Administration, or related field preferred. High school diploma required. Experience in facility coordination, event planning, community programming, or school district operations preferred. Experience with FMX or similar facility management software is strongly preferred. Experience in marketing, program development, or revenue generation is highly desirable. Knowledge of insurance requirements, fee structures, and public facility regulations preferred. Maintain a physical fitness standard to fulfill the position\'s performance responsibilities. These responsibilities may include but are not limited to (standing for long periods of time, walking for extended periods, sitting for extended periods of time, restraining disorderly individuals, and responding to emergency situations in a quick and effective manner). Well versed in computer skills and Google operating system. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
Key Responsibilities:
Essential Duties and Responsibilities 1.Facility Use Administration & Coordination Coordinates and schedules District facilities for internal and community activities to ensure safe, efficient, and policy-compliant use. Manages all Facility Use Applications, including insurance verification, fee calculations, documentation, and approvals. Notifies users of application status and confirms logistics including dates, times, and special requirements. Maintains accurate records of facility usage and ensures alignment with Board policies and procedures. Forecasts facility usage trends and provides recommendations for optimization and long-range planning. Conducts annual reviews of rental fees and recommends adjustments. Resolves discrepancies related to facility scheduling and fees. Coordinates with Buildings & Grounds on maintenance, construction, and availability constraints. 2.Community School Program Development & Management Develops, implements, and oversees community-based programs utilizing District facilities, including: Athletic camps (e.g., coach-led programs) Performing arts and music camps After-school enrichment programs Special education and inclusive programming Adult education or recreation offerings Identifies community needs and designs programs aligned with those needs and District goals. Establishes partnerships with internal staff, coaches, instructors, and external vendors to deliver programming. Oversees program logistics including registration, scheduling, staffing coordination, and space allocation. Evaluates program success through participation data, feedback, and financial performance. 3.Marketing, Outreach & Community Engagement Serves as the primary liaison between the District and community organizations, municipalities, and external partners. Develops and implements marketing strategies to promote facility rentals and community programs, including: website content, social media outreach, email campaigns, printed materials. Actively recruits program partners and participants to expand offerings. Responds to inquiries from community members and stakeholders. Represents the District at community meetings and events to promote programs and partnerships. 4.Financial Oversight & Revenue Generation Manages billing, invoicing, deposits, and account reconciliation related to facility use and community programs. Develops pricing structures for community school programs in alignment with District policies. Tracks revenue and expenses for both facility rentals and program offerings. Reconciles custodial and operational costs associated with facility use. Pursues outstanding balances and ensures financial accountability. Identifies and develops new revenue-generating opportunities through expanded facility use and programming. 5.Operational Coordination Coordinates staffing needs for events and programs, including custodial coverage and facility access. Communicates event and program requirements to custodial, maintenance, and administrative staff. Ensures facilities are properly prepared and restored following use. Oversees logistics for program execution, including room setup, equipment needs, and scheduling alignment. 6.Facility Use System Oversight & Reporting Manages the District\'s facility-use scheduling system (FMX or equivalent). Runs reports and analyzes data to inform decision-making and improve efficiency. Assists in managing additional system modules such as invoicing, maintenance requests, and asset tracking. Collaborates with software vendors for training and system optimization. Ensures accurate and user-friendly processes for internal and external users. Maintains the District\'s Facility Use and Community Program website content. 7.Research & Continuous Improvement Researches best practices in facility management and community school programming. Provides recommendations to improve efficiency, participation, and revenue generation. Stays current on trends in community education, recreation programming, and public-sector facility use.
Reports to:
Director of Buildings and Grounds/Assistant Director of Buildings and Grounds Salary:
$55,000 - $65,000
