Job Description
Job Overview We are seeking a detail-oriented and proactive Bookkeeping and Order Entry Specialist to join our dynamic finance team. In this role, you will be responsible for maintaining accurate financial records, processing orders efficiently, and ensuring smooth day-to-day accounting operations. Your expertise will support our commitment to financial integrity and operational excellence, enabling us to deliver exceptional service to our clients and stakeholders. This position offers an exciting opportunity to apply your accounting skills in a fast-paced environment while contributing to the overall success of our organization. Responsibilities Enter and process customer orders accurately using various accounting software platforms such as QuickBooks, Xero, Sage, or similar tools. Maintain and update financial records, including accounts payable and accounts receivable transactions, ensuring compliance with GAAP (Generally Accepted Accounting Principles). Reconcile bank statements, credit card accounts, and general ledger accounts through detailed balance sheet reconciliation and general ledger accounting. Prepare journal entries for financial transactions, ensuring proper debits and credits are recorded in accordance with double-entry bookkeeping standards. Manage invoice processing, payment posting, and account reconciliation to support accurate financial reporting. Assist with payroll processing, tax filings, and governmental accounting requirements as needed. Support month-end closing activities by preparing financial reports, conducting account analysis, and performing account reconciliations. Utilize technical accounting knowledge to troubleshoot discrepancies and improve bookkeeping processes for efficiency. Skills Proficiency with accounting software such as QuickBooks, Xero, Sage, or similar platforms; experience with Quicken is a plus. Strong understanding of corporate accounting principles, non-profit accounting practices, and governmental accounting standards. Knowledge of GAAP guidelines related to balance sheet reconciliation, general ledger management, and financial report writing. Experience with bank reconciliation, account analysis, journal entries, accounts payable/receivable management, and tax-related processes. Familiarity with payroll systems and 10-key typing skills for efficient data entry. Ability to perform detailed account reconciliation and maintain accurate general ledger records. Excellent organizational skills with a focus on accuracy in bookkeeping tasks such as debits & credits and double-entry bookkeeping. Strong communication skills for documenting financial reports clearly and collaborating effectively within the team.
