$26.00 - $34.00 per hour About Us Headquartered in Berkeley, CA, Bellwether Coffee is working to positively transform the coffee industry by making coffee roasting more accessible and sustainable. Our revolutionary electric, ventless commercial coffee roaster does not require gas lines or expensive ventilation. It's the most consistent and controllable roaster available, has the lowest carbon footprint of any commercial roaster ever made, and was designed by coffee people who want a better future. Our roasting platform allows Bellwether customers to easily and responsibly source green coffee from incredible coffee farms around the world, expertly roast using artisan-crafted roast profiles, and share fresh, delicious coffee! About this Role This role will report to the Accounting Manager and will support the Finance Team as well as our Berkeley HQ through general office administration. We are looking for a behind the scenes team player who can bring their organization and attention to detail to a dynamic company. Job Location The role requires full time on-site presence at our Berkeley HQ.
Primary Responsibilities Accounts Payable Support:
Monitor the dedicated AP inbox, ensuring all incoming invoices are saved, categorized, and routed for approval.
Invoice Processing:
Accurately enter and process general vendor bills into our accounting system, ensuring all data matches purchase orders and receipts.
Accounts Receivable Support:
Accurately post green coffee and roasted coffee invoices
Payment Reconciliation:
Regularly reconcile green coffee and roasted coffee payments against statements to ensure all accounts are current and discrepancies are resolved.
Billing & Invoicing:
Assist with the creation and distribution of outgoing customer invoices, ensuring timely delivery and precision.
Administrative Support:
Assist with manual data entry in NetSuite, including creating new customers, sales orders, and payment/deposit records for incoming orders
Office Support:
Coordinate weekly office snack orders Assist with IT requests & inventory management General support around office organization, events support & coordination.
Qualifications Experience:
1-2 years of experience in an office setting, preferably with exposure to basic bookkeeping or billing.
Software Proficiency:
NetSuite (Highly Preferred): Experience navigating ERP systems for billing and inventory posting.
E-commerce & Payments:
Prior experience with Stripe and Shopify for reconciling sales and processing payments.
Microsoft Excel:
Strong skills in spreadsheets (VLOOKUPs and Pivot Tables are a plus).
Organizational Skills:
Ability to manage a high volume of emails and digital files without feeling overwhelmed.
Communication:
Clear and professional written and verbal communication skills for interacting with vendors and internal teams.
