POSITION SUMMARY
The Staff Accountant is a skilled mid-level accounting professional responsible for managing the full-cycle AP and AR functions, contributing to the monthly close process, and serving as a resource to customer service, production and operations staff. This role requires strong working knowledge of international vendor payments, factored customer accounts, royalty-based licensing obligations, and internal controls within a licensed accessories and consumer products environment. The Staff Accountant works with limited supervision and is expected to take ownership of their functional areas.
KEY RESPONSIBILITIES
Accounts Payable — Full Cycle Management Manage end-to-end AP function, including invoice receipt, 3-way matching, coding, approval routing, and payment processing. Administer domestic and international vendor payments, including wires in USD and foreign currencies Maintain relationships with overseas manufacturers; resolve discrepancies related to purchase orders, landed costs, and production billing. AP:
freight forwarders, customs brokers, duties, and drayage billing. Manage vendor master file; ensure compliance with IRS documentation (W-9/W-8BEN) and prepare year-end 1099/1042-S filings. Perform monthly AP close, including sub-ledger to GL reconciliation and accruals for unvouchered liabilities. Identify and implement process improvements to increase efficiency and accuracy. Accounts Receivable — Factored & Non-Factored Management Manage AR for a mixed customer base: factored accounts and non-factored accounts managed through internal collections. Coordinate daily with the factoring company on credit line approvals, shipment notifications, payment remittances, and chargeback disputes. Apply cash receipts, factor settlements, and credit memos to correct customer accounts with accuracy and timeliness. Manage non-factored
AR:
monitor aging, execute collection calls and emails, escalate delinquent accounts per policy. Prepare and analyze weekly AR aging reports; present exception items to management. Process customer deductions (chargebacks, returns, allowances) Lead monthly AR close; prepare bad debt reserve analysis and journal entries. General Ledger & Month-End Close Prepare and post journal entries for accruals, prepaid amortization, intercompany, and AP/AR-related adjustments. Perform balance sheet account reconciliations monthly, with clear supporting documentation. Assist Controller in preparing monthly financial statements and variance analysis.
Support royalty accounting:
calculate royalties owed to brand licensors per license agreement terms Prepare royalty statements and accruals. Maintain the weekly Accounting Dashboard reporting (AP) Maintain the weekly Sales Dashboard reporting (AR) Perform other accounting duties as assigned by the Accounting Manager. Compliance, Controls & Team Support Maintain and enforce internal controls over AP and AR processes. Assist with annual audit, providing schedules, support documentation, and explanations to external auditors. Support ERP system administration for AP/AR modules Prepare SOP documentation for the Accounts Payable and Receivable functions.
REQUIRED QUALIFICATIONS
Bachelor's degree in Accounting or Finance required. 3-6 years of progressive accounting experience, with demonstrated AP and AR ownership. Experience with international vendor transactions, FX payments, and import-related AP. Working knowledge of factoring arrangements Proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP a plus) Proficiency in Microsoft Outlook to maintain multiple mailboxes Basic understanding of AI technology to be used as a complementary tool Familiarity with accounting software (Apparel Software Full Circle, or similar) Strong analytical, problem-solving, and organizational skills. Ability to work independently, prioritize competing deadlines, and communicate effectively with cross-functional teams.
PREFERRED QUALIFICATIONS
Experience in apparel, accessories, consumer goods, or licensing industry. Familiarity with brand licensing royalty structures and minimum guarantee calculations. Experience working with international manufacturers.
Knowledge of import documentation:
commercial invoices, bills of lading, letters of credit. Interest in the action sports, apparel, or lifestyle brand industry.
