This position is responsible for accurately entering and processing vendor invoices into our accounting system while maintaining organized records and supporting the Project Managers and Assistant Project Managers. The ideal candidate is highly organized, enjoys working with data, and can efficiently manage a high volume of invoices with accuracy and attention to detail. Construction industry experience and familiarity with Sage accounting software are strongly preferred. This role is an in office role. Duties Accurately enter vendor invoices into Sage Paperless software. Review invoices for completeness and ensure proper job coding and documentation. Utilize Sage to match invoices with purchase orders, subcontracts, project budgets, and supporting documentation. Communicate with project managers/ project manager assistants on PO discrepancies and adjust PO's when approved. Understand job costing and coding for invoice accuracy. Ensure invoices are entered in a timely manner to meet payment deadlines. This includes paying attention to payment terms and discount payment terms. Communicate with vendors and internal project teams to resolve invoice discrepancies. Assist with other project administrative and accounting support tasks as needed. Required Skills Minimum 2 years of experience in an office administration, administrative assistant, or data entry role. Strong data entry skills with exceptional accuracy and attention to detail. Excellent organizational and time management skills. Proficiency with Microsoft Office, particularly Excel and Outlook. Ability to prioritize multiple tasks in a fast-paced environment. Strong verbal and written communication skills. Preffered Skills Experience using Sage. Experience with Sage Paperless Office. Previous experience working in the construction industry. Familiarity with construction invoices, purchase orders, subcontractors, and job costing. What We're Looking For The ideal candidate is: Highly detail-oriented and organized. Committed to maintaining confidentiality and accuracy. Must have reliable transportation to the office in Fremont.
