Administrative & Accounting Coordinator Location:
Schaumburg, IL Compensation:
$50,000-$60,000 annually, DOE, plus annual performance bonus
Hours:
Monday-Friday, 9:00 AM-5:00

Please review thoroughly before submitting your application.※ Company Overview A U.S. subsidiary of an international specialty chemical company is seeking a coordinator to support accounting and office operations within a small, collaborative team. Position Summary This role supports accounting, payroll, sales administration, and general office operations. Responsibilities include maintaining financial records in QuickBooks, assisting with monthly closing, coordinating with external accounting professionals, and handling administrative duties. Japanese and English communication skills are required for coordination with domestic and international stakeholders. Approximately three months of transition training will be provided. Key Responsibilities Enter and maintain accounting data in QuickBooks. Support AP, AR, payment verification, bank reconciliations, and monthly closing. Prepare P&L, balance sheet, and other financial reports. Coordinate with external accountants, tax professionals, and auditors. Process and verify payroll using ADP. Review orders, process purchase orders, coordinate with vendors, and maintain sales records. Maintain employee documents and confidential records. Order office supplies, process mail, and support daily office administration. Assist with customs duty refund procedures and related documentation. Support special projects and other accounting or administrative duties.
Qualifications Required:
Professional Japanese and English proficiency. Prior hands-on accounting experience. Experience using accounting software. Strong organizational skills and attention to detail. Microsoft Office proficiency. Ability to manage confidential information appropriately. Ability to work onsite at least 2-3 days per week. Flexibility to support additional office responsibilities as needed.
Preferred:
QuickBooks experience. ADP payroll experience. Experience with AP, AR, reconciliations, payroll, or month-end closing. Administrative or sales support experience. Other Details No business travel. Annual bonus of 0%-20% based on company performance. Employee medical, dental, and vision insurance premiums are 100% employer-paid. Dependent coverage is excluded. 15 days of annual PTO available after three months.
