ABOUT US
We are a growing vacation rental company based in Eastham on Cape Cod, managing a portfolio of beautiful properties and delivering exceptional experiences to guests from near and far. Our small, dedicated team keeps things running smoothly through peak Cape Cod season and beyond — and we're looking for a sharp, organized, accounting-savvy professional to help us do it even better.
THE ROLE
This is a part-time on-site position (~20-25 hrs/week, primarily weekends plus select weekdays). You'll serve as the operational and financial backbone of our front office — managing guest reservations through our property management system, coordinating with internal staff, handling day-to-day accounting in support of our Controller, and making sure nothing falls through the cracks. WHAT YOU'LL DO
Reservations & Guest Services:
Manage all bookings, inquiries, and guest communications through Hostfully (our property management system) Handle check-in/check-out coordination, reservation confirmations, and guest follow-up Track rental orders Deliver white-glove customer service to our guests
Operations & Coordination:
Coordinate housekeeping schedules, property turnovers, and vendor calendars Track inventory across properties; manage supply reorders and office supplies Maintain staff work schedules and track attendance for payroll Support HR functions: personnel files, onboarding packets, employee records
Accounting & Bookkeeping:
Accounts payable and receivable using QuickBooks Desktop (Desktop — not Online) Invoice review, processing, and generation; statement reconciliation Posting, journal entries, general ledger maintenance Account reconciliations, bank reconciliations, payroll reconciliations Reconcile employee time records to prepare payroll for Controller review Excel-based reporting and ad-hoc analysis for Controller
WHAT WE'RE LOOKING FOR
Must-Haves:
Staff accountant-level accounting experience — solid fundamentals in AP, AR, reconciliations, and posting QuickBooks Desktop proficiency — the Desktop version specifically (Online experience does not substitute) Advanced Excel skills — strong with formulas, data organization, and reporting Outstanding attention to detail and accuracy Exceptional organizational skills — you are the person who keeps everyone else on track Strong customer service instincts and professional communication (written and verbal) Ability to work independently and juggle multiple priorities without dropping the ball High school diploma required; degree in Accounting, Business, or related field preferred Nice to
Have:
Experience with property management systems (Hostfully or similar) Bilingual in Spanish or Haitian Creole — a plus, not required Background in vacation rental, hospitality, or property management Marketing awareness — a plus when we need operational data for our marketing team
