Position Overview The position is a full-time, on-site position based in Hunt Valley, MD.
Salary:
Commensurate with experience + health benefits We are seeking a dependable, detail-oriented Accounting & Administrative Specialist to support our Office Manager with accounting, customer account management, and general office operations. The primary focus of this position will be invoicing, accounts receivable, customer accounts, QuickBooks, and administrative support . The ideal candidate is organized, accurate, professional, and comfortable managing multiple priorities in a fast-paced business environment. Experience in electronics recycling, recycling, waste management, logistics, or a related industry is a plus but not required. Key Responsibilities
- Prepare and process customer invoices and maintain accurate billing records.
- Monitor accounts receivable, apply payments, and follow up on outstanding balances.
- Maintain customer accounts and assist with billing questions or discrepancies.
- Enter and maintain accounting information in QuickBooks .
- Assist with account reconciliations, reporting, and other routine accounting tasks.
- Maintain organized customer, accounting, and business records.
- Prepare spreadsheets, reports, correspondence, and other documents using Microsoft 365 and Excel .
- Support the Office Manager with daily administrative and office responsibilities.
- Assist with employee onboarding, records, and other HR administrative tasks as needed.
- Communicate professionally with customers, vendors, employees, and other business contacts. Required Qualifications
- Experience in accounts receivable, invoicing, accounting, office administration, or a related field .
- Proficiency in QuickBooks .
- Strong working knowledge of Microsoft 365 and Excel .
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Ability to handle confidential financial and employee information professionally. Preferred
- Experience in a small or mid-sized business environment.
- Experience with customer account management.
- Previous HR or payroll administrative experience.
Ideal Candidate We are looking for someone who is organized, reliable, accurate, and willing to take ownership of their responsibilities . This person will be an important support to the Office Manager and should be comfortable working with customers, numbers, accounting software, spreadsheets, and general office responsibilities.
