Job Description

Position Summary We are seeking a dependable and detail-oriented Staff Accountant to join our accounting team. This position will take primary ownership of the company's Accounts Payable (AP) process from start to finish , while also working closely with the Controller to support the company's broader accounting and financial processes. This is a hands-on role well suited for someone who enjoys owning a process, and solving problems. The Staff Accountant will be responsible for ensuring vendor invoices, payments, credit cards, and purchase orders are processed accurately and efficiently while assisting with month-end close, reconciliations, job costing, reporting, and other accounting functions. Key Responsibilities Accounts Payable Own the full accounts payable lifecycle, from invoice receipt through payment and reconciliation. Review, code, and enter vendor and subcontractor invoices accurately and timely. Verify invoices against purchase orders, subcontracts, receipts, and other supporting documentation. Ensure expenses are properly coded to the appropriate general ledger accounts, projects, cost codes, and departments. Prepare and process weekly payment runs, including checks, ACH payments, and other electronic payments. Maintain accurate vendor records and resolve vendor account discrepancies. Reconcile vendor/credit card statements and research missing invoices, credits, duplicate payments, and other discrepancies. Coordinate with operations staff regarding invoice approvals and job-cost questions. Maintain AP documentation and internal controls. Assist with vendor setup and collection of required documentation, including W-9s. Support year-end 1099 preparation and reporting. Accounting & Financial Support Assist the Controller with the monthly and year-end close processes. Prepare general ledger account and balance sheet reconciliations. Assist with preparation and posting of journal entries. Support bank reconciliations. Assist with job-cost accounting and review of project costs for accuracy. Research accounting discrepancies and make or recommend appropriate corrections. Assist with accounts receivable, billing, payroll accounting, fixed assets, and other accounting functions as needed. Help maintain accurate financial records and supporting schedules. Assist with preparation of internal financial reports and management reporting. Assist the Controller with improving accounting procedures, internal controls, and workflow efficiency. Participate in special projects and other accounting or administrative responsibilities as needed. Qualifications 2+ years of accounting, bookkeeping, or accounts payable experience preferred. Construction accounting experience is preferred but not required. Understanding of basic accounting principles, including debits and credits and general ledger accounting. Experience with accounts payable and accounting software. Strong Microsoft Excel skills. High level of accuracy and attention to detail. Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines. Ability to research discrepancies and independently work through accounting issues. Strong written and verbal communication skills. Comfortable communicating with vendors, field personnel, and company leadership. Ability to handle confidential financial information appropriately. What Success Looks Like The successful Staff Accountant will take complete ownership of the accounts payable function, ensuring invoices are properly approved, coded, recorded, and paid while maintaining strong vendor relationships and accurate financial records. As the Staff Accountant becomes established in the role, they will develop a strong understanding of the company's overall accounting cycle and become a key resource to the Controller. The position offers the opportunity to expand beyond AP into month-end close, reconciliations, job costing, and financial reporting. Ideal Candidate The ideal candidate is someone who is organized, accountable, and comfortable taking ownership of their responsibilities. They don't simply process transactions—they notice when something doesn't look right, investigate discrepancies, ask questions, and follow issues through to resolution. This person should enjoy working in a growing, hands-on environment where accounting works closely with operations and project management. We are looking for someone who can become a trusted member of the accounting team and continue developing their accounting knowledge and responsibilities over time.
