Business Office Reports to: Business Office Director/Controller The mission of the Business Office is to account for institutional financial assets by providing sound management of the college's financial resources, maintaining accounting systems, records, and related internal controls, and reporting relevant financial information to the college's employees, departments, trustees, and constituents. Summary This position works closely with departments across campus to ensure accurate and timely processing of daily receipts. This position also provides support for the maintenance of the general ledger and financial reporting. This role requires independent judgment and initiative to problem-solve and improve financial processes. B. Primary Duties and Responsibilities Collaborate with Student Financial Services and Bookstore to review and post daily receipts and prepare student account refunds. Process donor gifts to post receipts and ensure accurate deposits. Analyze gift batches to ensure gifts are handled in accordance with donor intent. Oversee the processing of miscellaneous receipts from various departments across campus. Provide guidance to departmental contacts regarding proper account coding. Seek ways to improve processes and interdepartmental communication. Oversee petty cash activity across campus. Perform regular reviews of cash activity to reconcile cash and ensure appropriate balances. Manage the monthly process for cost allocation between college departments. Oversee the use of college funds by students traveling on behalf of the college. Provide accounting support and training to student teams to ensure proper documentation and expense recording. Distribute funds received by the college on behalf of partner organizations from weekly chapel offerings. Participate in the monthly close process by preparing journal entries, reviewing financial data, and performing account reconciliations. Prepare year-end audit work papers and provide support during the yearly audit. Serve as a backup to other Business Office roles, including accounts payable, payroll, or other general ledger processes. Assist the Director in other general accounting and reporting tasks as assigned. C. Knowledge, Skills, and Abilities Knowledge of standard accounting principles and best practices Competency in the use of Microsoft Excel and Word, and an aptitude for learning new systems Ability to work with a high level of autonomy and collaboration Strong analytical, organizational, and problem-solving skills Strong attention to detail Ability to communicate clearly and thoroughly Ability to manage multiple priorities effectively while under time constraints D. Minimum Education and Experience Requirements Bachelor's degree in accounting or related field Minimum three years of accounting experience (five years or more preferred) E•. Work Environment and Physical Requirements • This position is primarily in a professional office setting, working with sensitive information. In this role, routine use of office equipment will be required, including a computer, photocopier, scanner, and telephone. The role requires prolonged computer use while sitting at a desk. Must be able to focus and concentrate with precision on a computer screen. Reaching, stooping, standing, kneeling, bending, twisting, and walking are all required. This role typically works weekdays, but additional training may be required on occasion outside regular workdays. This is a full-time position.
