POSITION SUMMARY

The Staff Accountant supports the day-to-day financial operations of the North Carolina Central University Foundation, Inc., a nonprofit organization that advances the mission of North Carolina Central University through philanthropic support. This position is responsible for accounts payable and accounts receivable, cash receipts and deposits, journal entries, scholarship program accounting and reporting, administration of the Foundation's credit card program, and related reconciliations and compliance filings. The Staff Accountant works closely with the Controller to ensure accurate, timely financial records in accordance with generally accepted accounting principles (GAAP) and Foundation policies.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Scholarship Program & Reporting Administer accounting for the Foundation's scholarship program, including recording awards, processing disbursements to the University, and reconciling scholarship activity to the general ledger. Monitor scholarship compliance and prepare scholarship program reports for management, donors, and university partners; monitor available balances by fund and ensure awards comply with donor restrictions and fund agreements. Accounts Payable & Accounts Receivable Process the full accounts payable cycle: review invoices and check requests for proper approval, coding, and supporting documentation; enter and pay invoices; and respond to vendor inquiries. Record accounts payable journal entries and ensure expenses are posted to the correct funds, accounts, and periods. Manage accounts receivable, including invoicing, monitoring outstanding balances, and following up on collections. Process and reconcile Aramark billings and related dining/catering vendor activity, verifying charges against supporting documentation. Prepare and file annual IRS Forms 1099, including vendor W-9 collection and maintenance of vendor records. Cash Management & Banking Prepare and deposit checks received; record cash receipts accurately and timely to the appropriate funds. Maintain the outstanding check list; research and resolve stale-dated checks, including reissuance and escheatment (unclaimed property) compliance. Track and record changes in cash surrender values of Foundation-held life insurance policies. Credit Card Program & Processing Serve as program manager for the Foundation's corporate credit card program: issue and cancel cards, maintain cardholder agreements, monitor compliance with card policies, and reconcile monthly statements with receipts and approvals. Manage merchant credit card processing for incoming gifts and payments, including recording transactions, reconciling processor settlements and fees, and resolving discrepancies. General Accounting Support Assist with month-end and year-end close, account reconciliations, and audit preparation, including preparing supporting schedules and documentation. Maintain organized, audit-ready files and records; recommend process improvements to strengthen internal controls. Perform other duties as assigned in support of the Foundation's finance operations.

MINIMUM QUALIFICATIONS

Bachelor's degree in Accounting, Finance, or a related field from an accredited institution. Two (2) or more years of professional accounting experience, including accounts payable/receivable and journal entry preparation. Proficiency with accounting software and Microsoft Excel.

PREFERRED QUALIFICATIONS

Experience in nonprofit, fund, or higher-education/foundation accounting, including donor-restricted funds. Experience administering corporate credit card programs and/or merchant processing. Familiarity with 1099 reporting and unclaimed property (escheatment) requirements.

KNOWLEDGE, SKILLS, AND ABILITIES

Working knowledge of GAAP and, preferably, nonprofit fund accounting principles. Strong attention to detail and accuracy with a high degree of integrity and discretion in handling confidential financial and donor information. Effective organizational and time-management skills; able to manage multiple deadlines, including month-end close and annual filings. Clear written and verbal communication skills for working with vendors, donors, students, and university partners. Ability to work independently, exercise sound judgment, and collaborate within a small team environment.

WORK ENVIRONMENT

Work is performed in a standard office environment on or near the campus of North Carolina Central University in Durham, NC. Occasional extended hours may be required during month-end close, audit season, and year-end reporting periods.
