This role supports financial administration, vendor account reconciliation, credit applications, and state certification submissions. We need someone who can take ownership of assigned work, follow up on outstanding items, and complete tasks accurately with minimal supervision. Responsibilities Complete credit applications and gather the required financial and business documentation. Prepare and submit applications and supporting documents for state certifications; track deadlines, renewals, and outstanding requests. Track vendor invoices, reconcile vendor statements against company records, and resolve discrepancies. Process credit card payments and enter ACH payments in banking portals according to company approval procedures. Maintain payment records and spreadsheets to support cash flow tracking. Create and maintain accurate Excel reports using advanced formulas and data analysis tools. Communicate professionally with vendors, banks, and government agencies. Maintain organized records and protect confidential financial and banking information. Required qualifications At least three years of relevant experience in accounting support, accounts payable, financial administration, or a comparable business office role. Hands-on experience reconciling invoices and vendor statements. Experience processing electronic payments and working with online banking systems. Advanced Excel proficiency, including XLOOKUP or VLOOKUP, SUMIFS, pivot tables, and identifying discrepancies in large spreadsheets. Strong written communication and the ability to complete business applications accurately. Ability to manage multiple deadlines, follow through without repeated reminders, and work independently after training. Availability to work in person, 40 hours per week. Applicants must have relevant professional office experience. Personal banking, basic data entry, or unrelated work experience alone does not meet the requirements for this position. An Excel skills assessment and a practical invoice reconciliation exercise are required during the interview process. Associate degree preferred. Bilingual English/Spanish skills are a plus.
