About Kayfoods Better Brands Inc. DBA Kayfoods is a growing food manufacturer based in Albany, NY, serving K-12 schools, higher education, and foodservice customers throughout the United States. We are seeking an experienced, detail-oriented Staff Accountant to join our accounting team and support the continued growth of the company. Position Summary This is a hands-on accounting role with broad exposure to the company's financial operations. The Staff Accountant will work closely with our existing accounting team and management on day-to-day accounting, billing, collections, reconciliations, financial tracking, and reporting. The successful candidate will initially receive structured remote training from an experienced member of our accounting team to learn our systems, customers, vendors, and processes. We are looking for someone who can handle the responsibilities of the role today while having the accounting knowledge, analytical ability, initiative, and desire to grow into a more senior accounting and financial leadership role over time. The company also works with an outside accounting professional for tax preparation and certain specialized accounting matters. Key Responsibilities- Manage day-to-day Accounts Payable and Accounts Receivable, including invoices, bills, payments, deposits, credits, expenses, journal entries, and approved checks and wires.
- Manage customer billing and collections, including statements, aging, outstanding balances, invoice disputes, short pays, chargebacks, deductions, and bill-backs.
- Review customer orders for pricing, terms, and billing accuracy; monitor shipment status and ensure completed orders are invoiced promptly.
- Set up and maintain customer and vendor accounts, including required documentation for major customers, suppliers, and distributors.
- Perform account reconciliations, investigate discrepancies, and maintain accurate financial tracking for purchasing, loans, financing, and recurring obligations.
- Prepare weekly and monthly AP/AR and other routine financial reports; assist with month-end accounting activities and management reporting.
- Maintain ingredient and cost information, customer credit limits, distributor records, broker commissions, sales-tax exemption documentation, and related supporting records.
- Maintain company insurance and recurring compliance records, including applicable PFL, Workers' Compensation, utility, and renewal tracking.
- Maintain organized accounting records and documentation for audits, reviews, compliance, tax preparation, and internal reporting.
- Work with Sales, Operations, Purchasing, customers, vendors, banks, and outside accounting professionals to resolve accounting, pricing, payment, and documentation issues.
- Assist with additional accounting, bookkeeping, reporting, and financial projects as needed. Qualifications
- 4+ years of accounting, bookkeeping, or related financial experience.
- Strong understanding of general accounting principles with hands-on AP, AR, reconciliations, and collections experience.
- Proficiency with QuickBooks or similar accounting software and strong Microsoft Excel and/or Google Sheets skills.
- Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
- Ability to work independently, take ownership of responsibilities, prioritize work, and meet deadlines.
- Professional communication skills and the ability to maintain confidentiality.
