Job Summary:
We are seeking a detail-oriented and proactive Accounting Associate III to support our fast-paced Accounts Payable (A/P) function. This role is responsible for processing and managing vendor invoices, supporting a three-way matching process, and ensuring accurate and timely payment operations. The ideal candidate will bring strong A/P experience, familiarity with accounting systems, and the ability to work efficiently in a high-volume environment..
Key Responsibilities:
Process vendor invoices by printing, distributing, and tracking invoices received via email, fax, and mail. Retrieve and distribute incoming mail to the Accounts Payable team for timely processing. Perform three-way matching (Purchase Order, Bill of Lading/Receiving Document, and Vendor Invoice) to ensure accuracy and compliance. Scan and index vendor invoices for electronic imaging and records management. Maintain accurate tracking of invoices received through multiple channels. Communicate effectively with vendors to resolve discrepancies or request missing/incomplete invoice information. Escalate issues beyond scope to appropriate stakeholders and keep the Supervisor informed of any concerns. Assist in training new associates on mail distribution processes and invoice handling procedures. Support continuous process improvements and perform additional duties as assigned.
Qualifications & Experience:
3-5 years of experience in Accounts Payable or related accounting functions. Strong understanding of three-way matching processes and A/P best practices. Experience in a fast-paced, high-volume A/P environment. Familiarity with accounting systems such as UMS and Microsoft Dynamics NAV (NAV) preferred. Prior experience with SAP and/or in the foodservice or distribution industry is a plus. Strong organizational skills with attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Strong communication skills and a collaborative team approach. Demonstrated ability to learn quickly and adapt to new systems and processes.
