Job Description
Key Responsibilities:
- Maintain accurate accounting records for multiple business entities, properties and ownership groups
- Process accounts payable and accounts receivable
- Perform monthly bank, credit card, and other account reconciliations
- Maintain and reconcile general ledger accounts
- Assist with preparation of monthly financial statements and management reports, including journal entries, accruals, and variance analysis
- Assist with month-end and year-end closing procedures
- Prepare and maintain accurate supporting schedules and accounting documentation
- Assist with preparation and documentation of monthly partner/owner distributions
- Prepare and manage tenant accounts, including billings, payments and security deposits
- Monitor accounts payable, accounts receivable, invoices, and cash balances
- Review invoices for appropriate coding, documentation support, approval, and allocation
- Manage regulatory filings and payments
- Assist with CAM and operating budgeting, annual CAM reconciliation, entity forecasting, and cash-flow reporting
- Assist with payroll processing and payroll-related accounting
- Assist with property-level financial reporting and expense tracking
- Assist with tax, insurance, audit, and other financial information requests
- Identify discrepancies or unusual transactions and assist with resolving them
- Maintain strict confidentiality of financial, employee, resident, tenant, and company information
- Maintain internal controls and documentation; ensure compliance with company policies.
Responsibilities may include:
- Assisting with tenant and vendor correspondence, including answering phone calls and office visits
- Maintaining organized property and lease-related records
- Assisting with vendor invoices and documentation
- Helping to track property-related expenses and projects, including capital improvements vs. operating expenditures
- Assisting with certificates of insurance, vendor records, and other property documentation
- Providing general administrative support to management as needed
- Assisting with special projects involving the company's real estate and operating businesses Occasional Marketing Support Marketing and social media will be a secondary responsibility of this position and will not be the primary focus.
Occasional responsibilities may include:
- Assisting with basic social-media posts and scheduling
- Gathering photographs, announcements, and other content
- Assisting with promotions, events, and community activities
- Helping maintain accurate online business information
- Supporting management with occasional marketing projects
Qualifications:
- 3+ years of accounting experience, preferably in retail, commercial real estate, or multi-entity operations.
- Experience with full-cycle accounting or substantial hands-on accounting responsibilities
- Solid understanding of general ledger accounting, reconciliations, A/P, and A/R
- Proficiency with Microsoft Excel (pivot tables, vlookup and xlookup functions, sumif functions, etc.) and other MS Office products
- Knowledge of property management accounting software is a plus (Rent Manager, Yardy, etc.)
- Experience with payroll processing is a plus
- Familiarity with social media, Canva, Facebook, Instagram or other tools is a plus
- Strong attention to detail, and problem-solving skills
- Ability to multi-task, prioritize, and work independently as well as part of a team
- Strong written and verbal communication skills
