This position assists with processing project financial transactions (A/P and A/R), preparing owner billing packages, and supporting trade partner compliance requirements. The Assistant Project Accountant collaborates closely with project accountants, project teams, trade partners, and vendors to ensure accurate documentation and seamless financial operations. This role serves as an entry-to-mid-level position with opportunities for development and growth into a Project Accountant role.
Duties and Responsibilities Financial Support & Compliance:
Assist with preparing and reviewing owner billings, backup documentation, and logging A/P invoices. Support in maintaining project files, rate tables, and budget documentation. Track and update Bernards systems as needed to ensure trade partner compliance items (insurance, lien releases, preliminary notices, etc.). Assist Project Accountants with the monthly owner payment application process, ensuring accuracy, timeliness, and compliance with project requirements. Collaborate with Project Teams and trade partners to obtain, review, and maintain schedules of values (SOVs) and budget allocations (as directed Submit, track, and maintain fully executed payment applications and supporting documentation via DocuSign and project records (as directed) Assist with entering and tracking budget transfers, commitments, PCCOs, and CCOs in Textura, reconciling with Procore to ensure alignment with A/P workflows, including invoice coding, preparation of joint checks, A/P and A/R approvals, and reconciliations. Lead the trade partner payment process, ensuring compliance with lien waivers, regulations, and company policies. Administer and support the Textura CPM system, maintaining data accuracy and assisting other users across the company. Oversee trade partner A/P invoice and payment postings, reconciliations, and integration into company books and financial reports. Collaborate with Project Teams and trade partners to obtain, review, and maintain schedules of values (SOVs) and budget allocations. Collaborate with trade partners, suppliers, project teams, and executives to ensure timely, accurate, and compliant processing of trade partner payables. Support in preparing financial reports, reconciliations, and projections.
Project Coordination:
Attend project meetings (buyout, kickoff, closeout) as needed for financial support. Assist with data collection for Project Financial Reports (PFR) and Cost to Complete (CTC) meetings. Coordinate with trade partners and vendors on payment status and inquiries. Provide guidance, training, and support to F&A team members, PP&C, Project teams, trade partners, and internal Bernards personnel. Assist in leading process improvements and resolving accounting, vendor, and trade partner issues. Provide administrative support during audits and project closeout. Reporting & Analysis Assist with project-specific WIP entries and reporting under the guidance of a Project Accountant. Help identify discrepancies in project financial data and escalate to senior accounting staff. Support monthly closing activities and reconciliations (e.g., Vista vs. Textura).
Education and Experience:
Associate degree in Accounting/Finance preferred (or working toward a bachelor's/undergraduate degree). 1-3 years of accounting or finance-related experience, preferably in construction or project accounting. Experience with accounting software and ERP systems preferred (Textura, Procore, Vista a plus).

Team-oriented with a willingness to learn and take on new tasks. Proficiency in Excel and basic financial analysis.
Pay:
$75,000.00 - $85,000.00 per year
