Job Description

Position Overview We are a small, relationship-oriented three-person family office seeking an experienced accountant who values a more personal work environment and direct relationships. This hands-on role supports the day-to-day financial activity of multiple family entities and trusts, including payments, accounting records, payroll, reconciliations, month-end accounting, and routine financial reporting. The position may be especially appealing to someone coming from a larger accounting firm who prefers a smaller setting, broad day-to-day involvement, and a high level of trust. Primary Responsibilities Manage accounts payable and payments, including wires, ACH payments, checks, vendor payments, approvals, and accurate transaction coding across multiple entities and trusts. Maintain accurate general ledger and operating expense records, along with complete supporting documentation. Process payroll, reimbursements, deductions, paid time off, and related payroll records. Reconcile bank and other accounts and support the month-end close. Prepare routine financial reports, budget-to-actual reporting, and project-cost tracking. Coordinate as needed with outside accountants, tax advisors, banks, vendors, and other service providers. Additional Responsibilities Maintain fixed asset and depreciation schedules. Sales and use tax compliance, W-9 tracking, and annual 1099 preparation and filing. Insurance administration, including renewals, certificates, audits, claims information, and broker/carrier coordination. HR administration, including onboarding and offboarding records, employee files, payroll-related forms, benefits, leave records, and employment notices. Income tax payment tracking, trust-related payments and documentation, compliance requests, audit support, and occasional special projects. Qualifications 5+ years of hands-on accounting or bookkeeping experience in the areas above, including accounts payable, transaction coding, general ledger activity, payroll, reconciliations, and month-end close. Experience working across multiple entities and handling confidential financial information with accuracy and discretion. Experience with ADP, Sage Intacct, or comparable payroll and accounting systems preferred. Full-time position with paid vacation and sick leave, plus paid holidays. SEP IRA employer contribution after two years of employment.
