This role is responsible for managing a portfolio of government and city-funded agreements, supporting accurate billing, and maintaining strong financial oversight across multiple reporting cycles. The ideal candidate brings hands-on nonprofit contract billing experience, sound judgment in expense review, and the ability to work closely with internal partners to keep invoicing timely and compliant.
Responsibilities:
  • Oversee billing activities for a portfolio of approximately 35 city and grant-funded contracts, ensuring deadlines and funding requirements are met.
  • Review general ledger activity to identify billable costs and confirm transactions are recorded accurately.
  • Assess expenses for compliance and allowability under contract and grant guidelines before invoicing.
  • Maintain organized billing schedules, tracking tools, and supporting documentation for monthly and quarterly reporting cycles.
  • Prepare, reconcile, and submit invoices with attention to accuracy, completeness, and contract-specific requirements.
  • Collaborate with program, finance, and other internal teams to investigate discrepancies and resolve billing questions efficiently.
  • Monitor contracts with varying levels of complexity and adjust billing support based on reporting needs and funding terms.
  • Contribute as an individual contributor in a hands-on accounting role without direct supervisory responsibilities. Requirements
  • At least 5 years of accounting experience, including direct work with nonprofit contract or grant billing.
  • Proven background managing government grants, fund administration, or related restricted funding environments.
  • Experience using Sage, Abila MIP, or a comparable accounting platform beyond QuickBooks.
  • Strong understanding of general ledger review, expense classification, and invoice preparation.
  • Ability to manage multiple active contracts with both monthly and quarterly billing schedules.
  • Solid attention to detail and the ability to interpret funding rules to support compliant billing.
  • Comfortable working a 40-hour-per-week schedule in a hybrid environment with 4 days onsite and 1 day remote, except Tuesdays.
