Job Description

Galway Companies, Inc, a Madison, WI based real estate management and development company. We are seeking a Residential Property Accountant who is responsible for ensuring the accurate and timely administration of financial and resident-accounting functions across Galway Companies' residential portfolio. This position serves as the central point of accountability for lease-related accounting, security deposit administration, accounts payable, owner reporting, compliance monitoring, and resident account reconciliations. The Residential Property Accountant works closely with property management, leasing, and maintenance teams to ensure consistency, accuracy, and compliance across all residential accounting and resident account processes. This position is expected to provide exceptional internal and external customer service while supporting the financial operations of the residential portfolio.
You will contribute by:
Review newly signed and countersigned leases and amendments (including addendums and resident changes) to verify accuracy of charges, dates, deposits, fees, and resident information Identify missing documentation, required corrections, or signatures and coordinate follow-up with on-site teams Complete move-in accounting functions, including posting charges, verifying lease data, and establishing accurate resident ledgers Prepare and review monthly rent postings and tenant billing for accuracy, completeness, and compliance with lease terms Process and review related account adjustments to ensure consistency including posting late fees, utility bill-backs, one-time charges, credits, and other adjustments Research and resolve resident ledger discrepancies and assist with monitoring delinquent accounts and collections follow-up Manage all security deposit accounting, including preparation, processing, refunds, and mailings Monitor compliance with state security deposit laws, ensure timely returns, and follow up on outstanding or uncashed checks, including unclaimed property processing as required Research and resolve security deposit discrepancies Process cancelled and denied applications, reconcile applicant deposits, and ensure accurate accounting of all application-related funds Assign and maintain rentable items such as parking spaces, garages, storage units, and other ancillary revenue sources Process accounts payable invoices timely and accurately, including utilities and recurring operating expenses Review invoice coding and supporting documentation for accuracy and completeness Coordinate invoice approvals with property management teams Process purchasing requests from facilities, maintenance, and on-site management through approved vendors and company purchasing accounts Assist with month-end accounting procedures, including reconciliations and financial reporting Prepare rent certificates and other resident financial documentation upon request Upload and maintain annual market rent schedules Process and review budget imports and rent structure updates Maintain accurate records and documentation in accordance with company policies and regulatory requirements Assist with special projects and other accounting responsibilities as assigned
Specific Knowledge, Skills, and Abilities Required:
Strong knowledge of residential property management accounting principles and practices. Working knowledge of landlord-tenant regulations, lease administration, and resident account management. Ability to communicate effectively with residents, vendors, owners, and team members. Strong analytical and problem-solving skills. Exceptional attention to detail and accuracy. Ability to prioritize work, exercise sound judgment, and manage multiple deadlines simultaneously. Strong organizational and time management skills. Ability to exercise discretion and maintain confidentiality. Proficiency in Microsoft Excel, Microsoft Office applications, and accounting software. Ability to work independently while contributing to a collaborative team environment. Educational, Licensing, and Experience Requirements Minimum of three (3) years of residential property management experience required. Minimum of three (3) years of Yardi Voyager experience required. Experience with security deposit administration, resident accounting, accounts payable, and financial reporting. Associates degree in Accounting, Finance, Business Administration, or related field preferred. Experience supporting a multi-site residential portfolio preferred. Physical Requirements Must be able to remain in a stationary position for extended periods while working at a computer using a keyboard, mouse, and screen to complete the work. Constantly operate a computer, calculator, printer, scanner, and other office equipment. Frequently review detailed financial records, reports, and resident account information. Listen to and speak with tenants. Occasionally lift and move items weighing up to 25 pounds. May occasionally travel between office and property locations. Working Conditions The Residential Property Accountant operates primarily in an office environment. The position requires the ability to manage multiple priorities, deadlines, and interruptions while maintaining a high level of accuracy. Frequent communication with property staff, vendors, residents, and ownership is required. The position may periodically require additional hours during month-end, year-end, budget preparation, or other peak business periods.
