Full Job Description Key Responsibilities:
The Senior Accountant will independently manage the company's day-to-day accounting operations and perform controller-level responsibilities for a real estate organization that develops, owns and manages income-producing apartment buildings, neighborhood retail shopping centers, warehouse/storage facilities, office buildings, and homes for rent. This role is responsible for accounts payable, accounts receivable, preparation of construction loan draws, accurate month-end close, financial reporting, compliance support, internal controls, reconciliations, and analysis to support budgeting, forecasting, and property operations.
Job Roles and Responsibilities:
Financial Reporting & Month-End Close (Controller-Level) Lead the monthly close process, ensuring books are accurate, complete, and reported on time Prepare periodic financial statements, including balance sheet, income statement, cash flow analysis, and related schedules. Maintain and reconcile general ledger accounts, including accruals, prepaid expenses, fixed assets, and intercompany/property accounts as applicable. Ensure correct accounting treatment for revenue, expenses, leases, tenant-related activity, and capitalized costs. Produce supporting reporting packages for management, lenders, investors, and ownership entities. Perform variance analysis against budget/forecast and prior period results; communicate drivers and recommended actions. Maintain vendor compliance documentation. General Ledger, Reconciliations, and Accounting Operations Reconcile bank accounts, credit cards, AR/AP subledgers, and clearing accounts; investigate and resolve variances timely. Maintain property-level and project-level accounting structure for multi-property operations (apartments, retail, industrial/storage, office, and SFR). Ensure journal entries are properly documented, approved (as required), and posted accurately. Support the setup and maintenance of a chart of accounts, cost codes, job/project structures, and reporting hierarchies. Real Estate Development & Capitalization Support Support capitalization of development, construction, and renovation costs, ensuring costs are classified correctly (capital vs. expense). Prepare monthly construction loan draw packages. Track project costs by budget/cost codes and provide status reporting to management. Assist with capitalization of interest (as applicable), construction in progress (CIP) activity, and capitalization cutover to placed-in-service. Prepare schedules supporting audits, lender reporting, and tax filings related to development and improvement activity. Assist with the preparation of cost segmentation studies and planning tax strategies. Property Operations Accounting (Leasing & Tenant Activity) Oversee and support the accounting for tenant rent/occupancy revenues, concessions, bad debt/allowances, and recurring charges (e.g., utilities reimbursements, CAM/OPEX, parking/storage where applicable). Ensure appropriate treatment of security deposits and related accounting per policy and applicable lease terms. Reconcile tenant charges and receipts to subledger and general ledger. Ensure accurate recording of property operating expenses and pass-throughs. Maintain rent rolls, insurance compliance, subcontractor agreements, prepare annual property CAM and operating budgets and communicate adjustments to CAM to Tenants. Cash Management & Cash Flow Reporting Monitor cash activity, including property-level cash accounts, operating accounts, and reserve accounts (if applicable) and maximize return on idle cash balances. Prepare cash flow summaries and assist with forecasting based on leasing activity, development timelines, and payment schedules. Track bank loan covenants and support reporting required by lenders. Internal Controls, Compliance Support, and Audit Readiness Strengthen and maintain internal controls across the accounting function (segregation of duties, approval workflows, documentation standards, electronic payments). Ensure adherence to company accounting policies and consistent application across properties/projects. Prepare audit schedules, support requests, and reconciliation evidence for external auditors and tax preparers. Assist with compliance documentation and reporting required by lenders, investors, landlords, and other stakeholders. Tax & Statutory Support (As Assigned) Support preparation of tax-related workpapers and gather documentation needed for returns (property-level and entity-level as applicable). Coordinate with outside tax professionals and provide required schedules and reconciliations. Maintain records supporting depreciation schedules and fixed asset activity (including additions, disposals, and transfers). Fixed Assets, Depreciation, and Capital Planning Maintain fixed asset subledger(s) and depreciation schedules. Track additions/improvements, disposals, retirements, and transfers between CIP and placed-inservice. Support capital expenditure planning with accurate historical and forecasted spend. Budgeting, Forecasting, and Decision Support Assist with annual budgeting and periodic forecasting for properties and development projects. Build and maintain recurring reporting models and KPI dashboards (e.g., collections, delinquency, occupancy-related expense drivers). Provide financial insights to support decisions on leasing strategy, expense management, and development phases. Process Improvement Review work product for accuracy and completeness. Implement processes for fraud identification and ensure documentation for key processes and control. Improve accounting processes to reduce close time and minimize errors (templates, checklists, automation where feasible).
