WORK ENVIRONMENT
& SCHEDULEThis is a full-time, on-site position that operates in a professional office environment. Standard business hours are expected, with occasional additional time during peak periods such as month-end close, audits, or reporting cycles.

ROLEThe Staff Accountant Accounts Payable supports the Finance Office by performing a variety of accounting functions in accordance with generally accepted accounting principles (GAAP) and federal cost accounting regulations. This role focuses on accounts payable operations, financial recordkeeping, and supporting organizational financial processes.

Accurate accounts payable processing and reconciliation directly impact vendor relationships, audit readiness, and the universitys overall financial integrity.
WHAT YOU WILL
DOAccounts Payable & Reconciliation Enter vendor bills in accounting system (QuickBooks) with appropriate electronic backupUpload direct deposit batch to bank weekly for vendor paymentsPrepare and mail vendor checks weekly and attach appropriate backup in accounting filesRecord all expense reports and travel reimbursementsMaintain accounts payable records and filesSet up new employees with company credit cards, including training for credit card system, and ongoing cardholder assistance as neededExport monthly credit card transactions for over 185 employees from Visa Spend Clarity software and prepare monthly credit card reconciliationsAssist in the fixed asset/capital, depreciation and prepaid processes as neededRecord petty cash transactions and monthly reconciliationAssist in RMU store merchandise reconciliation and process annual sales tax returns related to the store sales transactionsRecords Management File, organize, and maintain hard copy and electronic financial recordsProvide support for annual external Finance Audit as part of year-end closeAssist in preparation and distribution of annual tax form 1099 for all vendorsDistribute ad hoc reporting as necessary, related to budget vs. actuals, etc. Other Duties as AssignedThe above statements describe the general nature and level of work being performed by individuals assigned to this classification. WHAT WE ARE LOOKING
FOREducationAssociates degree in accounting, finance, business, or related field (or equivalent experience)Bachelors degree in accounting, finance, business, or related field is preferredExperienceMinimum of two years of relevant financial experience in an accounting setting, or an equivalent combination of education and/or experience.
Previous experience in an Institution of Higher Learning environment preferred, but not requiredKnowledgeKnowledge of generally accepted accounting principles (GAAP), and federal cost accounting regulationsProficiency in QuickBooks Enterprise Desktop preferred but not required. Skilled in the Microsoft Office Suite, particularly ExcelFrequent use of the VLookup function in Excel to combine data from various sources for reportingProficient with current technology and ability to learn new skills/programs quicklyExperience in Microsoft Workspace including Outlook, OneDrive, Word, Excel, etc.
