Position Summary The Staff Accountant drives TruDataRx's core finance and operational accounting functions, taking full end-to-end ownership of the accounting lifecycle. Reporting directly to the Director of Finance, this role manages raw data flows from initial entry through to the final financial statements. With direct accountability for total invoice processing, vendor logs, coding, approvals, entries, and monthly reconciliations, the Staff Accountant plays a critical role in ensuring financial transparency, regulatory compliance, and seamless operational continuity.
Manage the complete AP process from end to end. Set up new vendors, maintain vendor logs, code incoming invoices, route and track approvals, and prepare invoices for review and execution by the Director of Finance.
Accounts Receivable & Invoicing:
Take full ownership of the AR workflow. Set up client accounts, generate and prepare outbound invoices, track receivables, and ensure timely payment collection.
General Ledger & Data Flow:
Process day-to-day transactions, ensuring raw financial data is properly coded and flows directly into accurate financial statements. Execute journal entries and perform routine bank and account reconciliations.
Payroll & Tax Administration:
Administer time-and-attendance tracking, execute bi-weekly payroll processing, and manage tax payments in compliance with federal and state requirements.
Financial Reporting:
Gather data, maintain QuickBooks records, and prepare monthly financial reports for the Director of Finance's review. Assist with annual tax filings and corporate financial oversight.
Operations, Compliance & HR Support Vendor & Client Onboarding:
Maintain corporate books and collect essential compliance documentation, including W-9s and updated vendor files in company systems.
Reporting & Compliance:
Oversee required annual employee benefit reporting and filings, including W-2s, ACA (PCORI annual filings), and 1099s.
Sales Commissions & Corporate Renewals:
Track and calculate sales team commissions. Support corporate renewals (including 409A valuations and insurance coverage), request COIs, and maintain policy tracking.
Personnel Records & Onboarding:
Maintain accurate employee files (new hires, terminations, transfers) in strict compliance with state and federal regulations, and assist with onboarding new team members.
Event Support:
Assist with budget preparation, logistical planning, and execution for the annual corporate retreat.
