Auburn, MA Job Summary:
Under the direction of the Accounting Supervisor, the Accounting Coordinator performs a broad range of accounting, banking, collections, accounts payable, and financial support functions. This position serves as a key backup resource to the Accounting Supervisor and accounting team, ensuring continuity of daily operations and timely completion of critical financial activities. The Accounting Coordinator is responsible for daily bank reconciliations, collections support, accounts payable tracking, temporary employee invoice verification, monthly accruals, audit support, refund processing, and other accounting-related activities. The position requires a high level of accuracy, organization, confidentiality, and the ability to identify, research, and resolve discrepancies. The Accounting Coordinator also provides cross-functional support and assists with special projects and process-related initiatives as needed.
Full Time:
Monday - Friday 8:00am - 4:30pm
Essential Duties and Responsibilities:
Successfully complete all required training for this position. Performs and maintains knowledge of all Accounting Clerk responsibilities and serves as a backup resource for accounting staff. Assists with training accounting staff as needed. Provides backup support to the Accounting Supervisor and other accounting team members to ensure continuity of operationsand that all metrics are met. Provides backup support for daily bank reconciliations, research, and reports discrepancies, as necessary. Maintains access to and responsibility for the company safe, including adherence to established cash-handling and security procedures. Serves as a backup contact for calls and inquiries from off-site locations and provides assistance as needed. Provides backup support for Reciprocity-related activities. Maintains comprehensive knowledge of daily and monthly collections processes and procedures, including approving invoices, downloading, and uploading files, handling disputes, verifying deposits, and maintaining spreadsheets. Provides backup support for the processing of credit card variances, accounting communications, and lockbox exceptions. Accounts Payable duties that include tracking invoices, ensuring invoices are properly coded and approved, and resolving discrepancies. Assists the Accounting Supervisor with bankruptcy-related processes. Processes and monitors refund-related activities, including serving as the primary/backup contact for questions and issues involving customer refunds. Maintains an accurate listing of temporary employees by staffing agency, tracks hours worked, reviews and verifies invoices, and researches and resolves discrepancies. Assists the Accounting Manager as needed on the annual audit. Prepares monthly accruals. Reviews payment transaction logs for potential fraudulent transactions and reports findings.
Technical Skills:
Excellent skills in the following areas: communication (both verbal and written), data entry, customer service, interpersonal, and problem-solving. Team player, self starter, proactive, conscientious, results oriented, proven attention to detail. Solid keyboard skills. Advanced skills in Microsoft Excel and Word are required. Accounting degree or a minimum of 3 years' bookkeeping/accounting experience or equivalent is preferred.
