Job Description

Job Overview We are seeking a dynamic and detail-oriented Accounting/Administrative Assistant to join our team. This vital role combines core accounting responsibilities with administrative support, ensuring smooth financial operations and efficient office management. The ideal candidate will be proactive, highly organized, and possess a strong understanding of accounting principles, financial software, and administrative procedures. This position offers an exciting opportunity to contribute to a growing organization while developing your expertise in both accounting and administrative functions. Duties Manage accounts payable and receivable processes, ensuring timely payments and collections using software such as QuickBooks, Xero, or Sage Perform bank reconciliations, balance sheet reconciliations, and account analysis to maintain accurate financial records Prepare journal entries, ledger postings, and assist with general ledger accounting in compliance with GAAP (Generally Accepted Accounting Principles) Support payroll management through systems like ADP, Paychex, Kronos, or UltiPro, including data entry and payroll processing Conduct data entry for financial transactions, maintaining precise records of all financial activities Assist with budgeting, financial reporting, and audit preparation by providing detailed account analysis and supporting documentation Handle administrative tasks such as scheduling meetings, managing correspondence, organizing files, and supporting team communication Support compliance with SOX (Sarbanes-Oxley Act) controls and internal audit requirements for financial processes Utilize various financial software tools including Workday, PeopleSoft, Ceridian, or Accounting software to streamline operations Maintain accurate records of accounts payable/receivable transactions and process invoices efficiently Support governmental accounting functions and non-profit accounting procedures as needed Assist with tax documentation preparation and ensure adherence to relevant financial regulations Experience Proven experience in accounting or bookkeeping roles within corporate or governmental settings Familiarity with accounting software such as QuickBooks, Sage, Xero, or similar platforms; experience with multiple systems is a plus Strong understanding of GAAP standards and technical accounting practices Experience working with payroll systems. Knowledge of SOX compliance requirements and internal controls is highly desirable Demonstrated ability in data entry accuracy, double-entry bookkeeping, and account reconciliation processes Excellent math skills coupled with strong attention to detail for account analysis and balance sheet reconciliation Ability to handle multiple priorities efficiently while maintaining high accuracy in a fast-paced environmentJoin us to be part of a vibrant team that values precision, efficiency, and professional growth.
