Years Job Summary:
We are seeking a highly organized and detail-oriented Accounting and Administrative Assistant to support our business with accurate financial recordkeeping, data entry, invoice tracking, and general administrative duties. This is an excellent opportunity for a motivated individual with basic accounting knowledge who is comfortable working with QuickBooks, Microsoft Excel, and financial documentation. The successful candidate will help ensure that invoices, vouchers, reimbursements, receipts, and other financial information are accurately recorded, tracked, and maintained while providing dependable administrative support to the team.
Key Responsibilities:
Track incoming and outgoing invoices and payment status. Prepare and maintain invoice and voucher tracking logs. Enter and maintain financial information in QuickBooks. Track employee and contractor reimbursements and supporting receipts. Review expense documentation for completeness and accuracy. Maintain organized electronic and physical financial records. Reconcile invoices, payments, receipts, and expense reports. Assist with accounts payable and accounts receivable tracking. Maintain Excel spreadsheets and financial tracking reports. Assist with monthly expense and financial reporting. Coordinate with management, vendors, subcontractors, and accounting professionals as needed. Identify missing documentation, overdue invoices, or discrepancies and follow up for resolution. Provide general administrative and business support as required. Maintain confidentiality and discretion when handling financial and business information.
Required Qualifications:
Associates or bachelors degree in Accounting, Finance, Business Administration, or a related field preferred. 0-2 years of relevant experience; qualified recent graduates are encouraged to apply. Working knowledge of QuickBooks. Proficiency with Microsoft Excel, Word, and Outlook. Basic understanding of accounting, invoicing, accounts payable, and accounts receivable. Strong organizational skills and attention to detail. Ability to maintain accurate records and meet deadlines. Professional written and verbal communication skills. Ability to work independently and manage multiple priorities. High level of discretion when handling financial and business information.
Preferred Qualifications:
Previous internship or work experience involving bookkeeping, accounting, invoicing, or office administration. Experience preparing expense reports or reimbursement documentation. Familiarity with government contracting invoices or vouchers. Experience working with financial records and supporting documentation. Preferred Software Proficiency QuickBooks Microsoft Excel Microsoft Word Microsoft Outlook Microsoft Teams
