JOB SUMMARY
Greentree Manor Nursing & Rehabilitation Center is seeking an organized, detail-oriented, and experienced Business Office Manager to join our team. This full-time position is responsible for managing accounts receivable and supporting the financial operations of our skilled nursing facility. The ideal candidate will have experience with healthcare billing, collections, Medicaid applications, and resident financial accounts. This role requires strong organizational, communication, and customer-service skills when working with residents, families, insurance providers, and facility departments.
RESPONSIBILITIES
Process accounts receivable, private-pay billing, third-party billing, cash deposits, and payment postings. Monitor private-pay spend-downs and support the timely transition of eligible accounts to Medicaid pending. Manage Medicaid-pending accounts and assist residents and responsible parties with Medicaid applications. Submit accurate and timely Medicare, Medicaid, private-pay, and third-party insurance claims. Follow up on outstanding balances, collections, claim denials, and unpaid accounts. Maintain resident trust accounts and financial records in accordance with applicable regulations and facility policies. Meet with residents, family members, and responsible parties to explain financial obligations, insurance coverage, account balances, and billing concerns. Maintain accurate facility census information and resident financial files. Review admission payer sources and coordinate with the Admissions Department to support smooth admission and discharge processes. Prepare financial reports and maintain complete and accurate supporting documentation. Protect the confidentiality of resident, financial, and facility information. Collaborate with Nursing, Admissions, Administration, and other departments to support effective financial operations. Perform other duties as assigned.
QUALIFICATIONS
Previous business office or accounts receivable experience in a skilled nursing facility or long-term care setting is required. Knowledge of Medicare, Medicaid, private-pay, and third-party insurance billing procedures. Experience with accounts receivable, collections, Medicaid applications, and resident trust accounts. General knowledge of or experience using Microsoft Office programs, including Excel, Word, and Outlook. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Ability to manage multiple responsibilities, prioritize assignments, and meet deadlines. Strong customer-service skills when communicating with residents, families, responsible parties, and coworkers. Ability to handle sensitive financial information professionally and confidentially. High school diploma or GED required.
