Job Description

Job Overview We are seeking a versatile and organized Office Assistant to join our growing team. In this role, you will manage daily financial administrative tasks, support new project workflows, and act as a dedicated Account Manager for key customer accounts. You will work closely with our Staff Accountant to ensure seamless financial operations. The ideal candidate is a proactive problem-solver with strong software skills and excellent communication abilities.
Responsibilities Financial Administration:
Handle daily Accounts Receivable (AR) and Accounts Payable (AP) invoicing, tracking, and collections.
Account Reconciliation:
Perform regular reconciliation of AR and AP ledgers and vendor statements to ensure accuracy.
Team Collaboration:
Partner closely with the Staff Accountant to support month-end closing tasks and financial updates.
Account Management:
Serve as the primary, dedicated point of contact for assigned customer accounts to ensure satisfaction.
Project Support:
Coordinate administrative tasks, documentation, and scheduling for New Development Projects.
Office Operations:
Manage daily correspondence, email queues, and digital filing systems.
Required Skills and Qualifications QuickBooks:
Minimum 1-2 years of experience handling AR/AP workflows and ledger reconciliation.
Microsoft Excel:
Proficiency with spreadsheets, data entry, and basic formulas.
Microsoft Outlook:
Advanced experience managing calendars, scheduling, and professional email correspondence.
Microsoft Word:
Ability to draft, format, and edit professional business documents and project summaries.
Communication:
Strong verbal and written skills for managing client relationships.
Organization:
Proven ability to multitask and meet deadlines in a fast-paced environment.
Bilingual:
Spanish and English Pay:
$18.00 - $20.00 per hour
