Job Description:
Document Control Associate (Human Resources) The Opportunity We are seeking a meticulous Document Control Associate to support a high-volume HR compliance initiative for a leading energy firm. This role is essential to ensuring the integrity of employee records, providing critical administrative oversight to maintain regulatory alignment and corporate standards during a key operational period.
Primary Responsibilities Compliance Auditing:
Conduct comprehensive reviews of employee documentation to ensure accuracy, completeness, and strict adherence to established company protocols.
Data Verification:
Verify that all required records are present, legible, and properly executed according to internal procedural guidelines.
Discrepancy Management:
Identify and document errors or omissions within submitted files, reporting findings to the appropriate stakeholders with clear instructions for necessary corrections.
Tracking & Resolution:
Monitor outstanding corrections and perform follow-up actions to confirm that all identified issues have been successfully resolved.
Records Management:
Maintain organized logs of reviewed materials and identified discrepancies in accordance with corporate data retention policies.
Process Escalation:
Proactively identify and escalate recurring or time-sensitive compliance issues to HR leadership.
Candidate Requirements Must-have Qualifications:
Educational Foundation:
High School Diploma or GED equivalent.
Detail Orientation:
Exceptional ability to identify errors within complex forms and supporting documentation.
Procedural Discipline:
Proven ability to follow detailed workflows and maintain focus in a high-volume, deadline-driven environment.
Ethics & Privacy:
Demonstrated ability to handle sensitive personnel information with absolute discretion and maintain data privacy standards.
Nice-to-have Qualifications:
Professional Experience:
Prior experience in document review, data quality, or administrative support within an HR, onboarding, or compliance-focused department.
Technical Proficiency:
Intermediate skill level with Microsoft Office Suite (Word, Outlook, and Excel).
