This vital role combines accurate financial management with efficient administrative support, ensuring smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ready to handle a variety of tasks that keep our office running seamlessly. Duties Manage bookkeeping responsibilities using QuickBooks, including invoicing, expense tracking, and bank reconciliations Handle data entry with precision, maintaining accurate records of financial transactions and client information Oversee office management tasks such as filing, organizing documents, and maintaining office supplies Answer multi-line phone systems promptly with professional phone etiquette; direct calls efficiently and assist callers as needed Provide front support by greeting visitors, managing appointments, and coordinating calendar schedules using Microsoft Office and Google Workspace tools Support customer service efforts by responding to client inquiries via phone or email, ensuring positive communication and support Perform clerical duties including proofreading documents, preparing reports, and managing spreadsheets for data analysis and reporting Experience Proven office experience with strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Prior bookkeeping experience using QuickBooks accounting software is highly desirable Excellent organizational skills with the ability to multitask effectively in a busy environment Strong computer literacy including data entry, word processing, and familiarity with productivity software Experience in customer service roles involving front desk responsibilities or client communication Bilingual (Spanish) abilities are a plus to assist diverse client needs and enhance communication within the team Demonstrated time management skills with the ability to prioritize tasks efficiently and meet deadlines Join us in a role where your organizational talents and technical proficiency will make a real impact!
