COURT COORDINATOR - BISBEE CLASSIFIED

This position requires a post offer, pre-employment background screening. Under direct supervision, this role involves significant support in the efficient and effective administration of court operations through administrative coordination and financial support. This position plays a key role in maintaining workflow integrity, compliance with administrative and financial policies, to include Minimum Accounting Standards, and ensuring consistent service delivery for the court. Key responsibilities include administrative tasks, demonstrating strong communication skills, discretion with sensitive information, and the ability to multitask in a fast-paced environment. (Illustrative Only) Maintains accounts receivable, accounts payable, purchasing card payments, and vendor management; Reviews, processes, and verifies invoices, payments, and purchase orders; Maintains inventories and orders office supplies and equipment; Processes and tracks orders, service requests, and documentation; Reviews and verifies accounting documentation from a department, division, vendor and/or outside for accuracy in adherence to policies and procedures; Prepares documentation and reports for input to a manual and/or automated accounting system or software program; Identifies, researches and resolves discrepancies, differences and errors in financial records and transactions; Prepares requisitions and reviews Purchase Orders; Assists with gathering and organizing budgetary and financial data to support the Judicial Budget and Finance Director; Responds to inquiries from court staff, external agencies, and the public; Maintains accurate financial records in accordance with policies and statutory requirements Arranges and assists with travel accommodations for staff; Performs complex clerical and administrative tasks in support of court staff, judges, and the public; Maintains financial records in accordance with Generally Accepted Accounting Principles (GAAP); Serves as Fleet Liaison. Performs other duties as assigned. Associate's degree with courses in accounting, business or a related field from a regionally accredited institution of higher learning recognized by the US Department of Education and/or three (3) years of progressively responsible accounting or bookkeeping work experience; and/or an equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved may be considered. A valid Arizona Driver's License and the ability to be covered by county insurance. Applicants must successfully complete a criminal background check and fingerprinting.Considerable Knowledge of:
Court operations and basic legal terminology; Accounting systems and applicable software programs; Applicable accounting operating policies and procedures; Accounting principles, practices, and procedures; Fund accounting; Generally Accepted Accounting Principles (GAAP); The operation and procedures of a court and the justice system.Considerable Skill in:
Producing documents that are well organized using proper sentence construction, punctuation, grammar; Organizational, time management, and multi-tasking abilities; Providing reports and analyses regarding projects and objectives; Using software applications within the Microsoft Office Suite, specifically Excel, and Adobe Acrobat Pro; Performing and verifying mathematical computations quickly and accurately; Performing data entry, verification procedures, and proper coding of documents.Ability to:
Verify financial records and recommend corrective action; Analyze, interpret and solve complex problems; Establish and maintain effective working relationships with employees, elected officials, other agencies and the public; Organize assignments, follow priorities, meet deadlines, and make independent decisions if needed; Research and verify information, analyze, and identify resolutions to issues; Maintain confidentiality of court-related information; Ability to follow both written and verbal instructions accurately and efficiently; Work effectively individually or in a team environment; Read,write,andspeak English; Communicate effectively and successfully with customers of varying skill levels, communication styles, and personality types.WORK ENVIRONMENT
: Work is primarily performed under direct supervision. Incumbent generally performs work in a typical office setting with appropriate climate controls.PHYSICAL REQUIREMENTS
: Essential functions of this position require: lifting, manual dexterity, large motor skills, and ability to communicate.Light Work:
Exerting up to 20 pounds of force; frequently lifting or carrying of objects weighing up to 10 pounds requires a good deal of walking, standing or involves sitting most of the time with some pushing and pulling of arm or leg controls.Mental Application:
Utilizes memory for details and verbal instructions, requires emotional stability, critical thinking, adaptability and creative problem-solving skills.
