You will be the first point of contact for clients and visitors, manage financial records, and support daily office functions with enthusiasm and professionalism. Responsibilities Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations Handle front desk duties such as greeting visitors, answering multi-line phone systems, and providing exceptional customer service Maintain organized filing systems for both digital and paper records, ensuring easy access and data security Support office management tasks including calendar scheduling, appointment setting, and document proofreading Assist with client communication via phone and email, ensuring timely responses and professional interactions Enter data accurately into spreadsheets and productivity software while maintaining high levels of computer literacy Support administrative projects such as preparing reports, managing correspondence, and coordinating meetings with strong organizational skills Qualifications Proven experience in office management or administrative roles with clerical experience preferred Strong proficiency in QuickBooks, Microsoft Office (Word, Excel), Google Workspace, and other productivity software Excellent typing speed, data entry accuracy, and proofreading abilities Bilingual skills are a plus to effectively communicate with diverse clients and team members Experience with multi-line phone systems and front desk operations in a professional setting Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Knowledge of bookkeeping practices including accounts payable/receivable and basic financial reporting Strong customer service orientation with excellent phone etiquette and client communication skills Technical proficiency in computer literacy, file management, calendar management, and office equipment operation Join us to be part of a vibrant team where your organizational talents and administrative expertise will make a meaningful impact every day!
