We are seeking a detail-oriented and proactive Bookkeeping Specialist to join our dynamic finance team. As our Bookkeeping Specialist , you'll be the person that will team up with our Financial Specialist to keep our financial records accurate, our QuickBooks books clean, and our costs correctly coded across multiple grant-funded programs. This is a hands-on bookkeeping position daily transaction entry, bank reconciliations, accounts payable and receivable, payroll recording, and critically direct and indirect cost allocation across our program and grant portfolio. Responsibilities Daily Bookkeeping
  • Record all income and expenses daily in QuickBooks coded to the correct program, fund, account, and grant
  • Maintain the general ledger: accurate, complete, and audit-ready at all times
  • Process accounts payable: review, code, and enter invoices; prepare payment batches for approval
  • Record accounts receivable: log grant reimbursements, foundation disbursements, and donations
  • Process and record credit card transactions with complete receipt documentation Cost Allocation (Core Responsibility)
  • Apply the organization's Cost Allocation Plan to all shared expenses direct costs to specific programs, indirect costs to the administrative cost pool
  • Prepare monthly cost allocation worksheets for: payroll (by timesheet), occupancy, technology, equipment, and administrative overhead
  • Post monthly allocation journal entries in QuickBooks by class and job
  • Maintain a master cost allocation workbook that is clear, consistent, and audit-ready Reconciliations & Month-End Close
  • Reconcile all bank and credit card accounts monthly completed by the 10th of the following month
  • Support month-end close: ensure all transactions are posted, all accounts are reconciled, and reports are delivered to the Fiscal Specialist on time
  • Support year-end close and annual audit preparation: organize documentation, pull schedules, and respond to auditor requests QuickBooks Management
  • Maintain QuickBooks chart of accounts, class list, and customer/job list
  • Generate financial reports by program, grant, and fund as requested
  • Keep QuickBooks clean, organized, and ready for the Fiscal Specialist's review at any time Payroll Recording
  • Post payroll journal entries each pay period: gross wages, taxes, benefits, and net pay
  • Allocate payroll costs across programs and grants using approved timesheet data Qualifications
  • 2+ years of hands-on bookkeeping experience — full-cycle: A/P, A/R, reconciliations, and general ledger
  • Demonstrated QuickBooks proficiency — Desktop or Online (you will be asked to demonstrate this during the hiring process)
  • Solid understanding of direct vs. indirect costs and cost allocation in a multi-program or multi-fund environment
  • Strong attention to detail — you catch errors before they compound
  • Proficiency in
Microsoft Excel :
formula-based worksheets, organized tracking spreadsheets
  • Professional integrity and discretion with confidential financial information
  • Reliable transportation and ability to work in-person in the Crestline area Preferred (Not Required)
  • QuickBooks ProAdvisor certification
  • Experience in a California nonprofit with multiple grant-funded programs
  • Familiarity with nonprofit fund accounting and OMB Uniform Guidance (2 CFR Part 200)
  • Experience with payroll cost allocation across multiple programs or grants
  • Associate's or Bachelor's degree in Accounting, Finance, or Business
