Job Description

Job Overview We are seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative and accounting tasks. The ideal candidate will possess strong accounting skills and experience with financial software, enabling them to assist in maintaining accurate financial records while ensuring efficient office operations. This role requires a proactive individual who can manage multiple tasks effectively and contribute to the overall success of our organization. Duties Provide administrative support including managing schedules, organizing files, and handling correspondence. Assist with bookkeeping tasks such as accounts payable and accounts receivable management. Perform general ledger accounting, including journal entries, account reconciliation, and balance sheet reconciliation. Utilize accounting software such as QuickBooks, Quicken, Sage, Xero, or similar to maintain financial records accurately. Prepare financial reports and assist with budgeting processes while adhering to GAAP standards. Conduct bank reconciliations and payroll processing as needed. Support tax preparation efforts by organizing necessary documentation and ensuring compliance with relevant regulations. Collaborate with team members on various projects, providing insights based on financial analysis and account analysis. Maintain confidentiality of sensitive information and ensure data integrity across all financial records. Requirements Proficiency in accounting principles including double entry bookkeeping, debits & credits, and financial concepts. Experience with corporate accounting, non-profit accounting, public accounting, or governmental accounting is preferred. Familiarity with financial software tools for efficient data management and reporting. Strong analytical skills for account analysis and budget preparation. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Proficient typing skills (10 key typing) for accurate data entry and report generation. Strong communication skills to interact professionally with team members and clients. A proactive approach to problem-solving with attention to detail in all aspects of work.
