  • Oversee accurate recording, categorization, and reimbursement of litigation costs (medical records, filing fees, expert witness expenses, etc.)
  • Audit cost entries in the case management system to ensure alignment with invoices and supporting documentation
  • Monitor aging cost reports and ensure timely cost recovery from settlements
  • Coordinate with attorneys, paralegals, and case managers to resolve discrepancies Deposit Desk Operations
  • Supervise processing of all incoming client settlement funds, retainers, and reimbursements into the trust account
  • Ensure deposits are logged, reconciled, and allocated to the correct matters promptly
  • Verify all deposits comply with IOLTA requirements
  • Oversee remote deposit capture, wire transfers, and bank courier processes Team Leadership
  • Anticipates issues, identifies root causes, and implements effective solutions.
  • Supports, mentors, and develops team members to reach individual and department goals.
  • Assign daily priorities, monitor workflow, and ensure SLAs are met.
  • Conduct training on trust accounting compliance and firm policies
  • Takes ownership of deliverables and holds self and team to high performance standards. Compliance & Reporting
  • Prepare reconciliations of cost accounts and trust accounts
  • Develop, and maintain SOPs for cost tracking and deposit handling Cross-Department Collaboration
  • Work closely with other Legal Support teams to confirm final settlement statements include all recoverable costs
  • Liaise with Medical Liens and Disbursement teams to ensure funds are properly allocated
  • Partner with IT to enhance cost and deposit tracking workflows to identify efficiencies Qualifications
REQUIRED
3+ years of experience in law firm accounting, preferably in Personal Injury or contingency-based practices Strong knowledge of Trust accounting rules and IOLTA compliance Proven experience managing cost tracking and high-volume deposit operations Strong Excel and data reconciliation skills Excellent attention to detail and ability to work under tight deadlines
PREFERRED
Experience in a multi-state law firm environment Familiarity with other state trust accounting rules Supervisory experience in a high-volume finance setting Core Competencies
