Position Summary We are seeking a detail-oriented Accounts Receivable & Contracts Manager with proven experience in the construction, subcontracting, or manufacturing industries. This role is responsible for overseeing AR operations, billing, lien management, payroll administration, and contract compliance. Ideal candidates will have hands-on experience in construction accounting, job costing, progress billing, and subcontractor financial processes.
Key Responsibilities:
Accounts Receivable & Billing (Construction Focus) Manage full-cycle accounts receivable (AR) including invoicing, cash applications, and collections Oversee construction billing processes, ensuring accuracy in progress billing, change orders, retention tracking, and job costing Monitor AR aging reports and actively manage collections, including discrepancies and disputed accounts Reconcile sales reports to general ledger (GL) and ensure financial accuracy Maintain ERP system data integrity and generate financial reporting Lien Management & Compliance Prepare and file preliminary lien notices and manage lien documentation for construction projects Assess accounts for lien eligibility and escalate issues as needed Ensure compliance with construction law requirements related to liens and payments Payroll & Labor Cost Oversight Manage weekly and semi-monthly payroll processes, ensuring compliance with state labor laws and wage regulations Review field payroll submissions including allowances, mileage, tools, and travel time Prepare payroll tax filings and workers' compensation reports Support audits and legal payroll documentation requests Contract Administration Review and manage construction contracts, purchase orders (POs), change orders (COs), and subcontract agreements Ensure pricing accuracy between awarded bids and executed contracts Track contract billing status and ensure full revenue capture Maintain business licensing compliance across multiple jurisdictions Insurance & Risk Management Coordinate with brokers to obtain Certificates of Insurance (COIs) Manage OCIP/Wrap insurance program documentation and reporting Support annual audits with required insurance and financial documentation Team Leadership Supervise and train staff including: AR Clerks Payroll Clerks Contract Administration Staff Drive process improvements and ensure operational efficiency Required Qualifications 3+ years of Accounts Receivable and billing experience in construction, subcontracting, or manufacturing (required) 3+ years payroll management experience (required) Strong understanding of: Construction billing (AIA billing, progress billing, retention) Purchase orders, change orders, and job costing Lien laws and contract compliance Proficiency with Microsoft Excel (advanced level required) Experience using ERP systems and databases Strong analytical, organizational, and problem-solving skills Preferred Qualifications Bachelor's degree in Accounting, Finance, or related field Experience working for a subcontractor or construction-related company Background in contract administration within the construction industry Bilingual Spanish strongly preferred Compensation & Benefits Comprehensive benefits package: 401(k) with employer match Medical, dental, vision, and life insurance Health Savings Account (HSA) Paid Time Off and paid holidays Retirement plan options
