We are seeking an Accounts Receivable Specialist to help manage customer accounts, ensure timely collections, and support the overall financial health of our organization. In this role, you will work closely with customers and internal teams to resolve billing issues, monitor outstanding balances, and ensure invoices are paid accurately and on time. You'll also play a key role in managing lien documentation, certificates of insurance (COIs), and maintaining accurate records across our accounting and CRM systems. What You'll Do Communicate regularly with customers, vendors, and internal team members by phone, email, and company systems to answer questions and resolve issues. Manage assigned tasks, tickets, and activities in the company CRM while ensuring deadlines are met. Prepare and process invoices for project, service, and time-and-material (T&M) work, ensuring invoices are accurate and delivered on time. Apply customer payments, maintain accurate payment records, and research any payment discrepancies. Investigate and resolve billing issues by coordinating with internal teams and customers. Conduct collection efforts, including customer outreach and follow-up on outstanding invoices, to ensure timely payment. Prepare and distribute monthly customer account statements. Process preliminary lien notices and unconditional lien releases in accordance with project requirements. Coordinate and distribute Certificates of Insurance (COIs) to customers, vendors, and subcontractors as needed, including annual insurance updates. Maintain accurate records and submit timesheets daily. Participate in team meetings, training sessions, and professional development activities. Support the accounting and operations teams with additional responsibilities as needed. 3+ years accounts receivable 1+ years collections High School Diploma or Equivalent (required) Bachelors in Accounting (preferred) Ability to read, write, hear, speak and comprehend English Excellent written and verbal communication skills Critical thinking, decision making and problem-solving skills Planning and organizational abilities Analytical skills to forecast and identify trends and challenges Customer Service driven Intermediate skill in MS Office suite
