Full Job Description Summary:
The Accounting Specialist ensures accurate financial records, prepares and sends monthly statements, receives and post payments, follows up on delinquent accounts, and maintains membership records, and manages facility rentals.
Essential Duties and Responsibilities:
Finance Maintain accounts payable and credit card transactions/records in QuickBooks Reconcile auto ACH payments and credit card transactions Create weekly A/P reports and pay bills weekly. Ensure credit card and accounts payable transactions are posted at month-end. Give list of month-end accruals to CFO for any missing monthly transactions. Assist NCBE members and vendors with billing/account questions. Maintain membership records including entering new members, reinstating members, and terminating members. Keep contact information current with membership manager. Balance new membership and resignations report for each monthly Board meeting with membership manager. Enter member billings in MC Trade for dues, permits, advertising, seminars, legal program, compensation dues and online planroom, etc. Prepare, print, and mail all invoices/statements to members. Receive and post payments and process credit card payments. Prepare and electronically process bank deposits for all NCBE related accounts. Assist in making reminder calls to members who are delinquent in paying their outstanding invoices. Send membership cancellation notices or bad debt letters to members who have canceled or who have failed to pay. Maintain current and archived A/R files and documentation. Quarterly compare the "online planroom" report with MC Trade report. Balance/maintain Petty Cash for NCBE & Community Funds Order and maintain contractor's forms Assist with all NCBE Events throughout the year such as Crab Feed, Golf Tournament, or when needed. Room Rentals Schedule and confirm NCBE room rentals. Set-up Training Center, Board Room, and other conference rooms for seminars, workshops, and special meetings. Education and/or Experience High school diploma or equivalent required 2+ years bookkeeping/accounting experience Knowledge of GAAP and general use of the principles of daily accounting procedures Knowledge of administrative and office procedures and systems Proficient in QuickBooks with 2+ years of experience using the software Proficient in Microsoft Office (Outlook, Word, Excel) Strong and accurate data entry skills Proficient in 10-key Ability to calculate figures and amounts such as discounts, interest, commissions, percentages Able to answer accounting and financial questions by researching and interpreting data Strong organizational and time management skills and ability to prioritize Professional telephone skills including active listening skills Ability to communicate effectively verbally and in writing Ability to interact with members, team members, board and committee members, and vendors in a professional manner Excellent customer service skills.
