Position Overview We are looking for an organized, dependable, and client-focused Administrative Assistant/Bookkeeper to join our Colorado Springs team. This is a blended position that combines front-desk and administrative responsibilities with entry-level to intermediate bookkeeping support. The successful candidate will often be the first person our clients speak with or see, making professionalism, warmth, and clear communication essential. The position will also assist with bookkeeping responsibilities, including transaction entry, account reconciliations, and financial-record maintenance, under the guidance of experienced accounting professionals. Responsibilities Client service and office administration Welcome clients and visitors and create a friendly, professional first impression. Answer and direct telephone calls and respond to routine client inquiries. Schedule appointments and assist with calendar management. Process incoming and outgoing mail and electronic documents. Scan, organize, file, and maintain client records. Request documents and follow up with clients regarding missing information. Assist with electronic signatures, document delivery, and administrative workflows. Maintain the confidentiality and security of sensitive client and financial information. Help keep the front office organized and operating efficiently. Bookkeeping and accounting support Enter and categorize financial transactions. Assist with bank and credit-card reconciliations. Maintain accurate and organized accounting records. Identify discrepancies and communicate questions to the appropriate team member. Assist with QuickBooks Desktop and QuickBooks Online client files. Help prepare and organize documents for bookkeeping, payroll, tax, and accounting projects. Provide additional administrative and accounting support as assigned. Required Qualifications Strong customer-service and interpersonal skills. Excellent written and verbal communication. Strong attention to detail and commitment to accuracy. Ability to organize and prioritize multiple assignments. Dependability and the ability to meet established deadlines. Sound judgment when working with confidential financial and taxpayer information. Comfortable learning and using accounting, document-management, and office software. Proficiency with Microsoft Office or comparable applications. Ability to work full-time in our Colorado Springs office. Preferred Qualifications Two or more years of bookkeeping, accounting-support, or related administrative experience. Experience with QuickBooks Desktop or QuickBooks Online. Experience performing bank or credit-card reconciliations. Previous experience in an accounting firm, professional-services firm, or deadline-driven office. Associate degree in accounting, business, or a related field. Relevant practical experience may be considered in place of formal education. What We Offer Hourly compensation of $21.00-$26.00, based on relevant experience and qualifications. Health insurance. Schedule and Work Environment This is a part-time, in-person position in our Colorado Springs office. Regular office hours are Monday-Friday 9 AM - 3 PM. This position has potential to move to full-time. Because we are an accounting firm, certain times of the year are busier than others. Candidates should be comfortable working in a deadline-driven environment and managing increased client communications and document volume during tax season.
