Job Description

Accounts Payable & Office Operations Specialist Position Overview We are partnering with a growing, fast-paced organization seeking a highly organized and detail-driven Accounts Payable & Office Operations Specialist to play a critical role at the intersection of finance, operations, and people. This is not a back-office, heads-down AP role. This position is ideal for someone who thrives in a hands-on environment, enjoys solving problems, and wants visibility into how a business truly operates day-to-day. You'll be a key contributor ensuring financial accuracy, operational efficiency, and seamless experience for both internal teams and external partners.
Primary Responsibilities Include:
Accounts Payable & Financial Operations Manage full-cycle accounts payable, ensuring accuracy, timeliness, and proper documentation Match invoices to supporting documentation (purchase orders, tickets, receipts) and resolve discrepancies proactively Partner cross-functionally to ensure proper approvals and coding Maintain organized, audit-ready financial records Build and maintain strong vendor relationships Reporting & Process Improvement Prepare and track key reports (aged payables, open items, workflow tracking) Analyze data to identify trends, gaps, and opportunities for efficiency Recommend and implement process improvements that enhance accuracy and controls Provide timely, reliable insights to support decision-making Vendor & Contract Coordination Support vendor onboarding and maintain compliance documentation Manage certificates of insurance and required contractor documentation Track and organize critical vendor records Office Operations & Administrative Support Oversee office supply and company purchasing needs Coordinate company events and internal initiatives Assist with communication systems and general office functionality Support special projects that improve the employee and operational experience People & Culture Support Assist with employee onboarding and administrative HR processes Help create a welcoming, organized, and efficient workplace environment What We're Looking For Highly detail-oriented with strong organizational skills Ability to manage multiple priorities in a fast-paced environment Proactive problem solver who doesn't wait to be told what's broken Strong communication skills with both internal teams and external partners Proficiency in Microsoft Excel and core office tools Experience in accounts payable or similar financial operations role required Experience in a project-based or construction-related environment is a plus Why This Role Stands Out High visibility across finance, operations, and leadership Opportunity to improve and shape processes—not just follow them Variety in responsibilities—no two days look the same Collaborative, team-oriented environment Strong benefits and competitive compensation Additional Details Non-exempt position with eligibility for overtime Comprehensive benefits package including medical, dental, vision, 401(k), paid time off, and holidays #LI-EL1 #
