Job Description
Position Summary We are hiring a full-time Bookkeeper to manage the day-to-day accounting and financial operations of the company. This is a trusted, high-responsibility role with direct exposure to ownership and full ownership of the books. The right candidate is detail-oriented, organized, discreet with confidential financial information, and comfortable working independently in a small-office environment. Key Responsibilities Accounts Payable Process all subcontractor and vendor invoices from receipt through payment. Verify subcontractor compliance documentation (W-9s, certificates of insurance, lien waivers) before releasing payment. Maintain organized vendor records and payment history. Accounts Receivable Draft and send client invoices at the direction of ownership. Draft and issue change orders as directed. Track outstanding receivables and follow up as needed. Payroll Review timesheets handed off by office staff. Process payroll and issue paychecks. Maintain payroll records. Job Costing & Reporting Maintain accurate job cost data in QuickBooks and Knowify. Generate job cost reports, budget vs. actual reports, and other financial reports for ownership as requested. General Accounting Manage all QuickBooks entries, reconciliations, and account maintenance. Support ownership with ad-hoc financial requests. Required Qualifications Proven bookkeeping experience covering AP, AR, payroll, and general ledger. Strong proficiency in QuickBooks. Strong proficiency in Microsoft Excel. Excellent attention to detail and organizational skills. Ability to work independently, prioritize, and manage multiple active projects. Professional written and verbal communication. Trustworthy with sensitive financial information. Preferred Qualifications Prior experience in the construction industry. Familiarity with job costing. Understanding of subcontractor compliance (lien waivers, COIs, W-9s). Experience with construction project management software (Knowify a plus — training provided).
