Job Description
Job Summary We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines financial management with administrative support, ensuring the smooth operation of daily office activities for a Non-Profit 501-3c. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to handle a variety of clerical and bookkeeping tasks efficiently. You will play a key role in maintaining accurate financial records , managing client and team communications, and supporting office management functions to foster a productive work environment. Responsibilities Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, bank reconciliations, and financial reporting Maintain organized filing systems for financial documents, contracts, and correspondence Handle multi-line phone systems with professionalism, providing exceptional customer service and client communication Assist with office management duties such as supply ordering, calendar management, and scheduling appointments Perform data entry tasks with accuracy using spreadsheets and productivity software to ensure up-to-date records Support front desk operations by greeting visitors, managing incoming calls, and directing inquiries efficiently Proofread documents, emails, and reports to ensure clarity and professionalism while maintaining high standards of phone etiquette and organizational skills Experience Proven experience in office administration or clerical roles with strong computer literacy across Microsoft Office applications including Word and Excel Prior experience with Online QuickBooks or similar accounting software is highly preferred Demonstrated ability to manage multiple tasks simultaneously while maintaining attention to detail Bilingual abilities are a plus Excellent organizational skills combined with time management expertise to prioritize workload effectively Strong customer service orientation with experience handling front desk responsibilities and client communication Familiarity with data entry, filing systems, proofreading, and calendar management to support overall office productivity Join us to be part of a vibrant team where your organizational talents and technical proficiency will make a meaningful impact every day!
