Job Title:
Assistant Bookkeeper Job Description As an Assistant Bookkeeper, you will play a crucial role in managing and maintaining accurate financial records across multiple entities. Your core focus will be on QuickBooks and multi-entity accounting, expense tracking, reconciliations, and supporting accounts payable and receivable functions. Responsibilities Post daily transactions into QuickBooks, including bills, expenses, deposits, payroll entries, and journal entries. Set up and maintain up to 8 separate companies in QuickBooks, ensuring accuracy and consistency across multiple entities. Maintain clean, audit-ready records within QuickBooks Online. Track and code expenses by company, job, phase, and cost category. Assist with monthly bank and credit card reconciliations. Support balance sheet and account reconciliations under the Bookkeeper's guidance. Process vendor and subcontractor invoices; match to POs and receiving documents. Prepare and issue customer invoices and progress billings. Track incoming payments, apply cash, and assist with basic collections follow-up. Assist with payroll processing, including timesheet collection, verification, and posting payroll into QuickBooks. Support payroll reconciliations and maintain employee records. Assist with job cost tracking and project-related expense coding. Help monitor retainage, deposits, change orders, and committed costs. Support AIA billing packages (G702/G703) and backup documentation (training provided). Maintain organized digital and physical files, including vendors, jobs, W-9s, COIs, and contracts. Answer phones and emails; coordinate with vendors, clients, and subcontractors. Support ad hoc accounting and administrative projects as needed. Essential Skills At least 3 years of hands-on accounting experience, including AP, AR, reconciliations, expense tracking, and payroll. Familiarity with QuickBooks (3+ years of experience) and experience in setting it up. Solid Excel abilities, including VLOOKUP and pivot tables. Excellent communication skills and a friendly, service-oriented phone presence. Confidence navigating technology and adapting to new systems quickly. Strong attention to detail, organization, and consistent follow-through. Additional Skills & Qualifications Construction/Manufacturing experience is a huge plus. A strong desire to learn, grow, and take on new challenges. A professional, upbeat attitude and collaborative spirit. Work Environment This position is onsite Monday through Friday in Jupiter, FL. You will work in a positive, team-oriented, and collaborative environment where everyone is laid-back, supportive, and works well together. Job Type & Location This is a Contract to Hire position based out of Jupiter, FL. Pay and Benefits The pay range for this position is $24.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
