Job Description

SUMMARY This position involves a combination of administrative, clerical, and accounting-related responsibilities, with a focus on managing travel and vendor transactions, maintaining fiscal records, and supporting financial systems. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle financial information with accuracy and discretion.
KEY DUTIES AND RESPONSIBILITIES
Review travel vouchers and vendor invoices for completeness, accuracy, proper documentation, and required approvals. Perform data entry and reconciliation tasks using fiscal/administrative databases and financial systems (e.g., FMISPC, E2). Prepare, review, upload, and process travel authorizations and reimbursements, including local travel and GTA/Individual Travel Account reports. Maintain and organize administrative and financial records, including filing and transporting files/documents. Verify vendor invoices and ensure sufficient funds are obligated before processing. Research and resolve discrepancies with internal staff or external vendors. Process payments related to the Electronic Communication Privacy Act (ECPA), the Right to Financial Privacy Act (RFPA), and FedEx billing. Provide guidance and training to staff on the use of travel systems (E2 and FMISPC). Input and manage information related to fiscal transactions, including vendor obligations and authorizations. Draft correspondence, memos, and administrative documents using word processing and email software. Respond to fiscal and administrative information requests; support audit preparation and reporting. Deliver excellent customer service and phone support to internal staff and the Executive Division.
EXPERIENCE AND/OR EDUCATION
Associate or Bachelor's degree preferred. Minimum of 4 years of relevant administrative and/or accounting experience. Experience in government, legal, or financial administrative roles preferred.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of clerical and bookkeeping procedures and general office operations. Proficient in using financial databases, data entry systems, and spreadsheet applications. Skilled in Microsoft Office Suite, especially Word, Excel, and Outlook. Strong organizational and file management skills. Ability to analyze and process financial documents with a high level of accuracy. Familiarity with travel systems such as E2 and FMISPC preferred. Ability to manage multiple tasks simultaneously, work independently, and meet tight deadlines. Strong interpersonal skills and commitment to providing quality customer service.
Pay:
$22.21 - $24.68 per hour
