Key Responsibilities Financial & Bookkeeping Duties Accounts Receivable & Payable:
Process daily customer invoices, record incoming payments, track vendor bills, and schedule disbursements. Purchase Orders (POs): Issue, track, and match POs with vendor invoices, job receipts, and delivery tickets to ensure accurate job costing.Job Compliance Documentation:
Prepare and track Notices to Owner (NTOs) and Lien Releases for commercial and major residential HVAC jobs.Reconciliations:
Perform monthly bank and credit card account reconciliations in QuickBooks.Payroll & Job Costing:
Process bi-weekly payroll and assign labor/materials costs to individual job numbers.Office Management & Administration Insurance & COI Management:
Request, issue, and maintain Certificates of Insurance (COIs) for commercial general contractors, customers, and subcontractors.Vendor & Contractor Relations:
Maintain relationships with HVAC equipment suppliers, trade vendors, and service providers.Permit & License Tracking:
Maintain municipal trade licenses, local permits, and equipment warranty filings.Dispatch Support:
Assist service managers with customer dispatching, phone intake, and customer service inquiries during peak demand.General Administrative Support:
Order office supplies, manage incoming mail, and maintain organized digital and physical job files.salary:
